ESSENTIAL RECEPTION FUNCTIONS
- Answers reception calls to document and communicate customer service messages on a timely basis to the appropriate individual.
- Manage daily reception calls for employee assistance and customer assistance in the front desk.
- Answer emails daily
- Manage birthday and anniversary cards
ESSENTIAL HR ASSISTANT FUNCTIONS
:
- Manage daily communication with employee call ins
- Maintain daily, weekly and monthly employee payroll/human resources information for employees through UKG payroll and HRIS system by adhering to payroll and general laws pertaining to W4's, I9's and other payroll documents
- Assist in translation of documents as needed.
ESSENTIAL RECRUITMENT FUNCTIONS
- With assistance of the HR Manager, maintain a strategic approach to identifying, attracting, and hiring the best talent to meet an organization's current and future workforce needs.
- Guide potential applicants through the application process.
- Schedule interviews based on skill set and availability if the applicant meets the hiring requirements.
- Process background checks, and inform HR of new hires, Operations and some customers.
- Prepare new employee files for new hires.
- Provide weekly updates of employee placement in both building and personnel format.
- Maintain accurate logs of applicants.
- Gather and track recruitment information to fulfill Affirmative Action Requirements.
- Perform outreach programs under the direction of the HR Manager.
- Must be able to drive to different locations and post position flyers and/or other recruitment data.
- Other duties as assigned upon company or management discretion mutually agreed to.
Requirements Bilingual- Spanish and English Previous administrative experience General knowledge of FMLA (Family and Medical Leave Act), OSHA standards, and employment law compliance requirements. Familiarity with HRIS tools like UKG for data collection and recruitment purposes. Excellent communication skills with the ability to handle confidential information professionally. Strong organizational skills with attention to detail in data entry, contracts management, and project coordination. Ability to adapt quickly to changing priorities in a fast-paced environment while maintaining a positive attitude.
