We operate a professional trucking fleet and support drivers, office employees, operations staff, safety personnel, fleet management, and maintenance teams. Join our dynamic organization as a Human Resources Manager and lead our HR initiatives with energy and strategic insight! We are looking for an experienced and dependable Human Resources (HR) Manager who can manage the company's day-to-day HR functions and work closely with management and department leaders. Position Summary The Human Resources Manager will be responsible for overseeing HR operations for Arctic Transport, including recruiting, hiring, onboarding, employee relations, personnel records, policies and procedures, performance management, employee separation, and general HR compliance. The ideal candidate is organized, professional, confidential, and comfortable working independently while communicating with employees and management across different departments. Because Arctic Transport operates in the trucking industry, the HR Manager should be comfortable working in a fast-paced environment with drivers, office employees, shop personnel, managers, and other operational staff. Key ResponsibilitiesRecruiting & Hiring Manage recruitment for office, operations, maintenance, safety, and other company positions. Create and post job advertisements. Review resumes and employment applications. Conduct initial candidate screenings and interviews. Coordinate interviews with department managers. Communicate with candidates throughout the hiring process. Conduct or coordinate reference and background checks when required. Prepare job offers and employment documentation. Maintain records of candidates and open positions. Work with management to identify current and future staffing needs. New Hire Onboarding Coordinate the onboarding process for new employees. Prepare new-hire paperwork and employment documents. Verify that required employment documentation is completed. Coordinate orientation and training schedules with department managers. Explain company policies, procedures, schedules, and workplace expectations. Make sure new employees receive the information and resources needed to begin their positions successfully. Maintain organized employee personnel files. Employee Relations Serve as a point of contact for employees regarding workplace questions and HR concerns. Assist management with resolving employee issues professionally and consistently. Document employee complaints, discussions, warnings, and disciplinary actions when necessary. Help maintain positive communication between employees and management. Handle sensitive and confidential employee matters appropriately. Support management with conflict resolution and workplace concerns. Performance Management Assist managers with employee performance evaluations. Maintain documentation related to performance discussions. Prepare written warnings, corrective-action documentation, and performance improvement plans when necessary. Track employee attendance, disciplinary issues, and performance concerns. Help managers establish clear expectations and follow-up procedures. Policies & Procedures Maintain and update company HR policies and procedures. Help develop an employee handbook and keep it current. Communicate company policies to employees. Ensure employees acknowledge required company policies and documents. Help management apply company policies consistently throughout the organization. Employee Records & HR Administration Maintain accurate and confidential personnel files. Keep employee contact information and employment records current. Track employment dates, position changes, compensation changes, and other HR information. Maintain records of employee warnings, evaluations, training, and other employment documents. Prepare employment verification letters and other HR documentation when required. Maintain organized digital and physical HR records. Attendance & Leave Administration Track vacation, sick leave, PTO, and other employee absences according to company policy. Maintain attendance records. Communicate with employees and managers regarding leave requests. Maintain documentation related to approved leave and employee absences. Employee Separation & Offboarding Coordinate voluntary and involuntary employee separations. Prepare resignation and termination documentation. Conduct exit interviews when appropriate. Complete employee exit checklists. Coordinate return of company property, keys, equipment, documents, and system access. Notify appropriate departments when an employee leaves the company. Maintain complete documentation related to employee separation. Payroll & Benefits Coordination Provide HR information needed by payroll/accounting. Communicate employee changes that affect payroll. Assist employees with general questions regarding benefits and payroll procedures. Coordinate enrollment documentation for company benefit programs, if applicable. Maintain records related to compensation and benefit changes. HR Compliance Help maintain compliance with applicable federal and Washington State employment requirements. Maintain required employment documentation. Monitor HR policies and procedures for necessary updates. Help ensure hiring, disciplinary, and termination processes are properly documented. Maintain confidentiality of employee records and sensitive company information. Management Support Work directly with company ownership and management regarding staffing and employee matters. Provide regular updates regarding recruitment, employee relations, attendance, and HR issues. Assist managers with HR documentation and employee conversations. Identify recurring workplace issues and recommend appropriate HR processes or policies. Support organizational growth by improving HR systems and procedures. Qualifications Previous professional experience in Human Resources is required. Experience as an HR Manager, HR Generalist, HR Business Partner, or similar HR role is preferred. Strong knowledge of recruiting, onboarding, employee relations, and employee separation procedures. Understanding of federal and Washington State employment practices. Strong organizational and documentation skills. Ability to handle confidential information professionally. Strong written and verbal communication skills. Comfortable communicating with employees at all levels of the company. Ability to manage multiple priorities and deadlines. Strong problem-solving and conflict-resolution skills. Experience with Microsoft Office, Google Workspace, or similar business software. Experience working in transportation, trucking, logistics, warehousing, or a similar industry is a plus. Preferred Qualifications Bachelor's degree in Human Resources, Business Administration, or a related field. SHRM-CP, SHRM-SCP, PHR, or SPHR certification is a plus. Previous experience building or improving HR policies and procedures. Experience supporting a growing small or mid-sized company. Experience with employee investigations and disciplinary processes. Experience coordinating payroll, benefits, workers' compensation, or leave administration is a plus.
