- The Benefits & Leave of Absence Coordinator is responsible for the day-to-day administration of employee benefits and leave of absence programs.
- The position supports the administration of health and welfare benefits programs, Family and Medical Leave Act (FMLA), state leave programs, ADA accommodations, short-term and long-term disability claims, and related employee services.
KEY ACCOUNTABILITIES
Benefits Administration- Assist with administration of company-sponsored benefit programs, including: o Medical o Dental o Vision o Life Insurance o Disability Insurance o Flexible Spending Accounts (FSA) o Dependent Care Accounts o Critical Illness and Accident Plans
- Review employee eligibility and enrollment activity.
- Process qualifying life event changes and benefit updates.
- Audit benefit enrollments and employee deductions for accuracy.
- Coordinate new hire, status change, and termination benefit processing.
- Respond to employee questions regarding benefit plans, coverage, and enrollment procedures.
- Serve as a liaison between employees, carriers, brokers, and third-party vendors.
- Assist with benefit invoice reconciliation and reporting.
- Support annual open enrollment activities, communications, employee education, and enrollment audits.
- Maintain confidential employee benefit records in accordance with HIPAA requirements. Leave of Absence Administration
- Coordinate employee leave requests including: o FMLA o CFRA o State paid leave programs o Personal leaves o ADA-related leaves and accommodations o Military and other protected leaves
- Track leave requests, approvals, extensions, and return-to-work dates.
- Communicate with employees, managers, and third-party administrators throughout the leave process.
- Review leave documentation and ensure timely submission of required forms.
- Coordinate Short-Term Disability (STD), Long-Term Disability (LTD), and state disability claims.
- Monitor leave status reports and maintain accurate records.
- Ensure employees receive required notices and communications.
- Assist with return-to-work coordination and transitional accommodations. ADA and Accommodation Support
- Assist in administering the ADA interactive process.
- Coordinate meetings and documentation related to accommodation requests.
- Maintain records of accommodations, communications, and related decisions.
- Partner with Supervisor and HR to support reasonable accommodation efforts.
- Escalate complex accommodation matters to HR leadership as appropriate. Compliance and Recordkeeping
- Ensure compliance with federal, state, and local leave and benefits regulations.
- Maintain accurate employee records and documentation.
- Protect confidential employee information.
- Assist with audits, reporting requirements, and annual compliance filings.
- Stay informed of changes in employment laws affecting benefits and leave programs.
- Follow established HR policies, procedures, and SOPs. Employee Service & Support
- Provide timely and professional customer service to employees and managers.
- Educate employees regarding available benefits and leave programs.
- Respond to inquiries and resolve issues in a courteous and efficient manner.
- Maintain strong working relationships with vendors, carriers, and third-party administrators.
- Support special projects and other HR initiatives as assigned. Work Schedule/Travel 7:30 AM
- 4:30 PM Minimal overnight travel (up to 10%) by land and/or air.
REQUIREMENTS
Bachelors in Human Resources, preferred. 2-4 years of experience in benefits administration, leave administration, or HR operations. Experience administering FMLA, ADA, disability programs, and employee benefit plans. Experience working with HRIS, benefits enrollment systems, and payroll systems preferred.CERTIFICATIONS
CEBS, preferred. SKILLS- Working knowledge of:
