We are proud to primarily serve a Medicaid Managed Care population, working to provide accessible, quality dental care to a population that is often underserved. Our Central Scheduling Department plays an important role in making that care accessible by connecting patients with the providers and appointments they need. Position Overview We are seeking a highly organized, detail-oriented, and solutions-focused Central Scheduling Team Lead to oversee scheduling operations for one of our dental offices. This position combines schedule oversight, team support, patient communication, and administrative coordination. The ideal candidate is someone who naturally notices when something is not right, takes ownership of problems, communicates professionally, and can prioritize competing demands in a fast-paced environment. The Team Lead will serve as a key resource for scheduling staff while working closely with the Central Scheduling Manager and clinical offices to keep schedules accurate, confirmed, and productive. Key Responsibilities Schedule & Office Oversight Oversee the day-to-day scheduling needs of assigned dental offices and providers. Regularly review current and future schedules for accuracy, confirmations, scheduling errors, and opportunities to fill openings. Identify potential scheduling problems before they become patient or clinical issues. Coordinate rescheduling efforts related to provider absences, cancellations, or other schedule changes. Communicate with assigned dental offices regarding scheduling concerns and solutions. Approvals & Schedule-Filling Responsibilities Own and maintain approval spreadsheets for assigned offices. Follow up on approved treatment to help ensure patients are scheduled promptly. Monitor schedule openings and coordinate efforts to keep provider schedules productive. Prioritize critical scheduling needs and communicate daily priorities to the scheduling team. Quarterly bonus eligibility is tied to the successful completion and management of assigned approval work. Team Support & Leadership Serve as a primary resource for scheduling staff, answering questions and providing guidance on scheduling protocols and procedures. Help prioritize team workload and provide real-time coaching when needed. Help ensure team members are following established scheduling protocols and maintaining accurate patient information. Assist with calls, confirmations, and other scheduling work when coverage is needed. Patient & Issue Resolution Assist with difficult or escalated patient calls and scheduling concerns. Work with staff and clinical offices to resolve problems efficiently and professionally. Identify recurring errors or process issues and bring them to management with potential solutions. What We're Looking For Previous experience in scheduling, healthcare administration, customer service, office administration, or a related field. Previous leadership, training, mentoring, or supervisory experience preferred. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Professional email and interpersonal communication skills. Comfort working with spreadsheets; Google Sheets or Microsoft Excel experience preferred. Strong problem-solving and critical-thinking abilities. Ability to prioritize multiple tasks in a fast-paced environment. Calm, professional approach when working with frustrated patients or difficult situations. Ability to learn new software and detailed scheduling protocols quickly. Dependable, accountable, and proactive work style. Dental or Denticon experience is a plus, but not required. We are willing to train the right candidate who demonstrates strong organizational, communication, and problem-solving abilities.
