Job Description

Position Summary Chocolate Works is seeking a Bilingual Payroll & HR Specialist responsible for supporting the day-to-day administration of payroll and human resources functions. This role ensures employees are paid accurately and on time while maintaining compliance with company policies, applicable laws, and payroll regulations. The Payroll & HR Specialist also provides administrative and operational support across key HR functions, including employee records, onboarding, benefits, timekeeping, and employee inquiries. This is an on-site position located at Chocolate Works' headquarters in Hauppauge, New York. Essential Duties and Responsibilities Payroll Process weekly payroll accurately and within established deadlines. Review and audit employee timecards, attendance records, overtime, PTO, and other payroll-related information. Ensure accurate processing of new hires, terminations, wage changes, bonuses, commissions, and other compensation adjustments. Research and resolve payroll discrepancies and employee payroll inquiries. Maintain payroll records and ensure proper documentation and record retention. Assist with payroll reporting, reconciliations, and audits. Coordinate with payroll vendors and internal departments to resolve payroll-related issues. Support year-end payroll activities, including W-2 preparation and reconciliation. Human Resources Support the onboarding process, including new-hire paperwork, employee data entry, and orientation coordination. Maintain accurate and confidential employee personnel files and HR records. Process employee status changes, promotions, transfers, leaves of absence, and terminations. Respond to employee questions regarding payroll, benefits, policies, and general HR procedures. Assist with benefits administration, including enrollments, changes, and employee communications. Support compliance with company policies, federal, state, and local employment requirements. Assist with HR reporting, audits, and recordkeeping. Support recruiting and other HR initiatives as needed. Maintain confidentiality when handling sensitive employee and payroll information. Qualifications Associate's or Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred. 2-5 years of experience in payroll, human resources, or a related administrative role. Experience with payroll and HRIS systems preferred. Knowledge of wage and hour laws, payroll practices, and HR procedures. Strong attention to detail and accuracy. Proficient in Microsoft Office, particularly Excel. Strong organizational, analytical, and problem-solving skills. Excellent written and verbal communication skills. Ability to handle confidential information with professionalism and discretion. Ability to manage multiple priorities and meet strict deadlines. Bilingual in English and Spanish required Preferred Qualifications Experience processing payroll for a multi-shift or hourly workforce. Experience with Multi-state payroll and employment regulations, if applicable. Experience working in a manufacturing, warehouse, distribution, or high-volume operational environment preferred. Pay:
$70,000.00 - $85,000.00 per year
