Anchor ABA is looking for a highly organized, dependable, and people-focused ABA Scheduling & Onboarding Specialist to join our growing team. This position is a key part of keeping our clinical team, families, and new employees connected and organized. The ideal candidate is someone who enjoys problem-solving, communicating with people, managing moving pieces, and making the onboarding process feel smooth and welcoming. What You'll Do Scheduling & Clinical Coordination Coordinate and adjust schedules for BCBAs, RBTs, and other clinical professionals. Help coordinate schedule changes when client, staff, school, medical, or family needs change. Communicate scheduling updates clearly with families and team members. Help identify scheduling conflicts and work with the appropriate team members to find solutions. Maintain accurate scheduling information and communicate changes promptly. Assist with coordinating coverage when staffing or scheduling needs change. Family & Client Onboarding Serve as a welcoming point of contact for families beginning services with Anchor ABA. Help families understand the onboarding process, required paperwork, next steps, and timelines. Coordinate intake and onboarding tasks between families, clinical staff, and administrative team members. Track outstanding documents, forms, consents, and other onboarding requirements. Help families feel informed and supported as they transition into services. Communicate professionally and compassionately with families throughout the onboarding process. Staff Onboarding Help new employees move through the Anchor ABA onboarding process. Coordinate onboarding schedules, training dates, paperwork, and required next steps. Communicate with new hires regarding what they need to complete and when. Help coordinate new staff with clinical teams and scheduling needs. Track onboarding progress and follow up on incomplete items. Help ensure new employees are prepared for their first day and understand where they need to be and what is expected. What We're Looking For Highly organized and detail-oriented. Strong communication and follow-through skills. Comfortable managing multiple schedules and priorities at once. Professional, friendly, and confident communicating with families and employees. Able to problem-solve when schedules inevitably change. Comfortable making phone calls, sending emails, and communicating across multiple teams. Able to maintain confidentiality and handle sensitive family and employee information appropriately. Comfortable working in a fast-paced healthcare/ABA environment. Reliable and able to follow through without needing constant supervision. Previous experience in healthcare, ABA, education, scheduling, customer service, human resources, or administrative coordination is a plus.
