Job Overview:

Analytic Acquisitions, LLC is seeking an experienced, highly organized Administrative Assistant to support the United States Coast Guard Recruiting Office in Grand Rapids, Michigan . This is a civilian position. Military service, enlistment, or commission is NOT required. We are looking for someone who is dependable, professional, detail-oriented, and comfortable managing multiple administrative responsibilities. The ideal candidate will have strong Microsoft Office skills, excellent written and verbal communication skills, and experience working with records, scheduling, data tracking, and administrative processes. Because this position also supports recruiting outreach and social media activities, bilingual English/Spanish communication skills and experience creating, editing, or posting social media content are required. Location 1971 E Beltline Ave NE Grand Rapids, MI 49525 This is a full-time, in-person position. Minimum Qualifications U.S. Citizen and able to successfully complete the required federal background investigation and suitability process Associate's degree in Business Administration or a related field Minimum of 3 years of administrative, clerical, or office support experience Strong proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams Strong organizational, scheduling, recordkeeping, and data-entry skills Excellent attention to detail and ability to accurately track multiple tasks and deadlines Ability to communicate professionally with applicants, recruiters, government personnel, and members of the public Ability to work independently while also supporting a team environment Bilingual English/Spanish Experience creating, editing, posting, or managing social media content The education requirement may be waived when a candidate has directly relevant experience connected to government administrative work. Military experience is welcomed but not required . Primary Responsibilities Recruiting Office Operations Support Answering, directing, tracking, and reporting incoming phone calls Developing and maintaining the Recruiting Office schedule using Microsoft Outlook or the applicable enterprise solution Drafting, organizing, and tracking routine correspondence

IAW USCG

policies Maintaining the Recruiting Office reference library Maintaining unit correspondence files Placing, tracking, and reporting status of purchase requests for recruiting office supplies Maintaining a file management system in compliance within federal, USCG, and unit policies under the guidance of the Recruiter in Charge (RIC) Tracking and reporting office compliance with Government Property/ Vehicle programs Tracking and executing office mailings Serving as office space liaison for building lease/maintenance Utilizing recruiting lead software Applicant & Recruiting Support Track applicants throughout the recruiting and accession process Maintain accurate applicant records, status updates, and required documentation Schedule ASVAB testing and Military Entrance Processing Station (MEPS) appointments Assist with travel arrangements for candidates in accordance with applicable policies Track background investigation and employment eligibility documentation Draft, submit, track, and report the status of waiver packages and other required documentation Track recruiter performance, training, and recruiting-office metrics Compile reports and performance information for USCG Recruiting Command and Headquarters personnel Track and process recruiting incentive packages Administrative Support Completing, routing, tracking, and reporting status of Local Marketing Support Forms and approvals Processing, tracking and reporting status of candidate's background investigations per references including but not limited to I-9, Employment Eligibility Verification forms, and the electronic questionnaires for investigation process (eQIP) process Scheduling the Armed Services Vocational Aptitude Battery (ASVAB) testing and MEPS appointments Booking travel arrangements for candidates per policy Drafting, submitting, tracking, and reporting status of waiver packages Information Technology Support Managing Microsoft Outlook calendars Managing / monitoring Outlook distribution groups and shared mailboxes Developing, updating, and maintaining the Recruiting Office Microsoft TEAMS site(s) under guidance of the RIC Sharing documents on Microsoft TEAMS Organizing files on Microsoft TEAMS Operating and reporting information from current lead management/accession software solution (Gangway) Microsoft 365 & Information Management Manage Microsoft Outlook calendars, distribution groups, and shared mailboxes Develop, update, and maintain Microsoft Teams sites under the guidance of the Recruiter in Charge (RIC) Organize and share documents through Microsoft Teams Maintain accurate electronic files and records Enter, track, and report information using current recruiting lead and accession-management systems Communications & Social Media Support Researching, creating, and maintaining outreach, centers of influence (COI), and distribution lists Developing communication flyers, posters, and other artifacts Supporting local, regional, and national recruiting events administrative requirements Posting, monitoring, and reporting on Recruiting Office's social media sites Assist the Recruiting Office with professional outreach and communications
