Job Description

Are you passionate about animals, enjoy helping people, and want to make a difference in your community? The Haven No-Kill Animal Shelter is looking for a compassionate, dependable, hardworking Adoption Coordinator to join our team. This is an active, hands-on position that combines adoption services and customer service with support for the daily operations of a busy animal shelter. Adoption Coordinators work with adopters and animals, maintain adoption and front-office areas, and assist other members of the shelter team when needed. This is a team-based, non-supervisory position. The successful candidate must be organized, dependable, able to prioritize responsibilities, take initiative, accept direction, and remain productive in a busy and frequently changing environment. Our Mission The Haven provides shelter and finds lifelong, loving homes for abused, homeless, and neglected animals while treating them with love, respect, and appropriate medical care. Through education and volunteer programs, we promote community awareness of pet overpopulation and responsible pet ownership. As a nonprofit, no-kill animal shelter, The Haven is committed to caring for the animals entrusted to us for as long as necessary while we work to find them appropriate, loving homes. What You'll Do As an Adoption Coordinator, you will: Welcome visitors and provide friendly, professional customer service to adopters, Good Samaritans, donors, volunteers, and community members. Assist prospective adopters in selecting animals appropriate for their household, lifestyle, experience, and expectations. Guide adopters through the adoption process and ensure required forms and documentation are accurately completed. Educate adopters about adoption benefits, shelter policies, responsible pet ownership, basic veterinary care, and how to help a new pet successfully transition into the home. Communicate honestly and professionally regarding an animal's known medical, behavioral, and care needs. Maintain accurate and timely computerized records for adopters and shelter animals. Answer incoming calls, check voicemail and emails, return calls and emails promptly, and maintain required telephone documentation. Accurately process payments for adoptions, donations, merchandise, and other transactions while protecting confidential customer and donor information. Safely and compassionately handle dogs and cats of varying sizes, breeds, temperaments, and backgrounds. Assist with the care, feeding, and monitoring of shelter animals as needed. Observe animals for changes in health or behavior and promptly communicate concerns to appropriate staff. Maintain assigned adoption and common areas, including routine sweeping, mopping, dusting, trash removal, restocking, and general upkeep. When adoption and front-office responsibilities allow, assist Animal Care staff as needed with laundry, dishes, cleaning and sanitizing animal areas, restocking supplies, and other animal-care support tasks. Monitor supplies and report shortages, equipment problems, or needed repairs to the Office Manager. Represent The Haven professionally and work cooperatively with staff and volunteers. Perform additional duties as assigned by the Executive Director and/or their designee. What We're Looking For We're looking for someone who: Demonstrates a strong work ethic and remains productive throughout the workday by proactively identifying tasks that need attention, taking appropriate initiative, and seeking productive work without requiring continuous direction. Can prioritize responsibilities, stay organized, multitask, and adjust priorities as shelter needs change. Is dependable, accountable, and follows through on assigned responsibilities. Has strong customer-service, interpersonal, verbal, and written communication skills and works effectively with a wide range of personalities and communication styles. Communicates professionally and respectfully with the public, adopters, donors, volunteers, coworkers, and community partners. Remains patient, calm, and effective during busy, stressful, or emotional situations. Accepts direction, works cooperatively with others, and contributes as a member of the shelter team. Pays close attention to detail and maintains accurate paper and computerized records. Has basic computer skills and the ability to learn shelter software and other programs. Is willing and able to learn and consistently follow The Haven's adoption, animal-care, cleaning, medical, and other established policies and protocols. Has a working knowledge of animal breeds, basic medical conditions, common diseases, animal handling, and behavior—or the willingness and ability to learn. Is committed to The Haven's mission and Core Values. Previous experience in an animal shelter, veterinary setting, rescue organization, animal-care position, or customer-service role is helpful; however, work ethic, initiative, dependability, willingness to learn, and the right attitude are equally important. Physical Requirements This is an active position requiring regular physical activity throughout the workday.
Employees must be able to:
Stand and walk for extended periods and regularly reach, bend, stoop, kneel, and crouch. Regularly lift and/or move up to 50 pounds. Safely handle and assist with animals of varying sizes. Perform routine cleaning duties as required by assigned responsibilities or shelter needs. Work in an animal shelter environment with exposure to animal hair, dander, odors, airborne particles, bodily fluids, cleaning products, and varying noise levels.
