Job Summary We are seeking a dynamic and highly organized Medical Spa Office Manager to lead our clinic operations with enthusiasm and precision. Responsibilities Oversee all administrative functions within the medical spa, including patient scheduling, billing, and records management using EMR/EHR systems. Supervise healthcare staff, including receptionists, medical assistants, nurses, and other team members, ensuring high standards of customer service and clinical support. Manage fiscal responsibilities such as budgeting, financial management, medical billing, and practice profitability to ensure sustainable operations. Ensure compliance with HIPAA regulations, health regulation policies, JCAHO standards, and other relevant healthcare laws to maintain a safe and legal practice environment. Coordinate human resources activities including hiring, training, performance evaluations, and staff development to foster a motivated team. Maintain accurate medical records and oversee electronic health records (EHR) management to guarantee data integrity and confidentiality. Monitor clinic operations for efficiency improvements and implement best practices in healthcare practice management. Requirements Proven experience in office management or healthcare practice administration with familiarity in managing teams within a clinical setting. Strong knowledge of healthcare regulation policies such as
HIPAA, JCAHO
standards, and managed care protocols. Excellent managerial communication skills paired with customer service expertise to support both staff and patients effectively. Demonstrated ability in fiscal management including budgeting, financial oversight, and medical billing processes. Background in nursing or acute care experience is highly desirable; familiarity with medical terminology and medical records management is essential. Competence in Microsoft Office applications for reporting and administrative tasks; understanding of health regulation policy is required. Experience supervising healthcare staff within a busy practice environment; knowledge of office management principles applicable to healthcare settings is necessary.
