Job Description

The Radiology / Liaison Assistant supports the Veterinary Radiology team by assisting with patient care, diagnostic imaging, scheduling, procedures, client communication, and coordination with referring veterinarians. This role helps ensure a smooth experience for patients, clients, doctors, and referring hospitals from scheduling through discharge. Responsibilities include assisting with patient positioning and restraint for radiographs, ultrasound, and image-guided procedures; preparing patients and imaging spaces; supporting radiation safety; managing imaging records; coordinating schedules; communicating with clients and referring veterinarians; and supporting the administrative needs of the Radiology service. The ideal candidate is calm, compassionate, organized, detail-oriented, and comfortable working in a fast-paced environment. Strong communication, follow-through, teamwork, and the ability to manage multiple priorities are essential. Assistants in this service are expected to assist other hospital services as needed.
Travel:
Regular travel between NSV Robbinsville and Brick locations is required.
Qualifications Experience:
Minimum of 1 year of experience in a veterinary clinic or hospital setting; radiology experience preferred but not required. Experience with imaging equipment, including radiography, ultrasound, CT, or MRI, is a plus. Experience communicating with clients, referring veterinarians, and veterinary hospital teams is preferred.

Responsibilities Radiology & Patient Care:
Assist with the operation of radiology and imaging equipment. Assist with coordinating the daily Radiology schedule. Assist with scheduling outpatient ultrasounds and other imaging appointments. Demonstrate familiarity with Asteris products and Instinct EMR. Assist with ultrasounds and patient positioning for diagnostic-quality radiographs. Prepare patients for imaging procedures, ensuring they are properly positioned, comfortable, and secure. Provide general patient care, including monitoring patients on fluids, obtaining accurate vitals and weights, and administering flow-by oxygen under the direction of a technician. Safely handle and restrain canine and feline patients, including muzzling and e-collar placement. Assist doctors and technicians with restraint for vitals, blood draws, IV catheter placement, injections, and other procedures. Assist with restraint, clipping, and setup for ultrasound and ultrasound-guided procedures, including cystocentesis, FNA, thoracocentesis, and abdominocentesis. Maintain sterile technique and assist with sterile procedure setup. Set up and assist with image-guided procedures. Clean and disinfect cages/runs, exam rooms, and imaging spaces between patients, including following infectious-case protocols and proper sharps disposal. Stock and maintain ultrasound and imaging rooms. Send imaging for radiologist interpretation in a timely manner. Maintain knowledge of and comply with radiation safety protocols. Help educate and reinforce proper PPE use during radiographic procedures. Maintain knowledge of and follow all hospital policies and safety procedures.
Liaison & Client Communication:
Serve as a point of contact between clients, Radiology doctors, referring veterinarians, and hospital staff. Respond to client, staff, and referring veterinarian communications, including phone calls, voicemails, and emails, in a timely and professional manner. Answer incoming calls and direct questions or concerns to the appropriate team member. Provide clients with updates on patient status as directed by the medical team. Relay test results to clients when requested or directed by the doctor. Obtain photos or other information from clients when requested by the medical team. Provide clients with instructions related to imaging, procedures, and discharge as directed. Promote goodwill and represent Radiology and NorthStar VETS with professionalism and pride.
Scheduling & Department Coordination:
Maintain assigned department schedules, including creating appointments and coordinating reschedules. Manage Radiologist schedules across NSV locations. Prepare department admission paperwork, including online consent forms, at least two days before scheduled drop-off appointments. Help ensure medications and discharge instructions are prepared and available at least two hours before patient departure. Obtain and organize medical records needed for scheduled appointments and procedures. Assist with creating estimates for procedures. Review charges for hospitalized patients and department discharges for accuracy. Obtain deposits as needed. Coordinate communication and follow-up related to scheduled procedures and patient care.
Referring Veterinarian Relationships:
Maintain strong, professional relationships with referring veterinarians and their hospital teams. Provide referring veterinarians with patient updates as directed by the medical team. Support timely communication between NSV doctors, referring veterinarians, and their teams. Help ensure medical records, imaging, and other requested information are organized and communicated appropriately.
Client Experience & Service Support:
Support Client Experience and service needs by providing relief coverage for Client Experience Representatives as needed. Assist with service recovery and client concerns within the scope of the role, escalating concerns to leadership when appropriate. Manage department sympathy cards and ensure they are mailed within one week of a patient's passing. Help create a welcoming and compassionate experience for clients and their families throughout the patient's visit. Promote goodwill and support a positive client experience across the hospital.
Team Collaboration & Continuous Improvement:
Work closely with veterinarians, technicians, Client Experience Representatives, and other hospital teams to support smooth workflow and quality patient care. Maintain clear and accurate records of imaging procedures, communications, and follow-up needs. Participate in training and professional development to maintain current knowledge of veterinary radiology and imaging practices. Identify opportunities for improvement and make recommendations to leadership. Contribute to resource utilization and department success projects as needed. Assist other services and departments as needed to support hospital operations. Perform other duties as assigned. Personal Attributes Calm and compassionate approach to patients and clients. Job Environment Must be able to lift 45 lbs. independently and up to 150 lbs. with assistance. Must be comfortable with basic safe restraint practices for dogs and cats. Ability to lift, bend, stand, and walk for extended periods. Ability to safely work in CT, radiographic, and MR environments. May be exposed to patient illness, death, zoonotic diseases, and hazardous materials. Works in a dynamic environment where priorities and schedules may change throughout the day.
