Schedule and Attendance Full-Time Regular, predictable attendance during operational business hours. Participate in team meetings, all-staff meetings, and one-on-one meetings with your supervisor. Occasional attendance at off-site meetings and special events may be required. May occasionally work at another AHS location based on department needs. Job Summary The Advancement Services Associate is responsible for accurately processing charitable contributions, maintaining donor records, and supporting donor communications within Animal Humane Society's fundraising database. This position plays a critical role in ensuring the integrity, accuracy, confidentiality, and security of donor information while providing administrative support to the Advancement team and helping create an exceptional experience for AHS supporters. Job Duties Process mailed, online, phone, and in-person charitable donations accurately and in accordance with organizational policies. Enter and maintain donor information within Virtuous CRM and other fundraising systems. Receive, record, and reconcile cash, check, and credit card donations while following internal financial controls. Maintain compliance with PCI Data Security Standards (PCI DSS) when handling payment information. Ensure donor records remain accurate, organized, and up to date. Support donor communications and assist with donor inquiries received by phone. Monitor communications through the AHS Giving inbox and other messaging platforms. Utilize desktop check deposit software and payment processing systems. Provide backup support to Advancement team members as needed. Assist with special events and other departmental projects. Promote a welcoming, inclusive, and professional experience for donors, volunteers, employees, and community members. Other duties as assigned. Additional Information Office/desk-based position located in Golden Valley Work areas may be adjacent to animal shelter spaces that can be noisy, humid, or odorous Position requires handling confidential donor and financial information Duties and responsibilities may change based on organizational needs Requirements Required 1+ years of clerical, administrative, or data entry experience Excellent communication and interpersonal skills Strong attention to detail and organizational skills Ability to manage multiple priorities while maintaining accuracy Strong problem-solving and process management skills Working knowledge of Microsoft Office products Ability to maintain confidentiality and handle sensitive donor information professionally Preferred Experience working with donor databases or CRM systems (such as Virtuous) Experience processing financial transactions, donations, or gifts Experience in nonprofit fundraising, development, or donor services Familiarity with payment processing systems or PCI compliance Physical Demands Prolonged sitting and computer work throughout the day Ability to lift and carry up to 10 pounds Frequent keyboarding and data entry Emotional Demands Comfortable working in an animal welfare environment, including the use of humane euthanasia Ability to maintain professionalism while handling sensitive donor interactions Ability to manage competing priorities in a fast-paced environment while maintaining accuracy Transportation Reliable transportation required May occasionally travel between AHS locations or attend off-site meetings and events Benefits About AHS Every year, Animal Humane Society provides direct care and services to help thousands of animals in need across Minnesota.
