Job Description
Do you enjoy helping people while making a positive impact on the lives of animals? Cumberland County Animal Services is seeking a compassionate, organized, and customer-focused Administrative Associate to serve as one of the first points of contact for citizens visiting or calling the shelter. In this role, you will provide exceptional customer service by assisting the public with the intake of stray and unwanted animals, answering questions regarding Animal Services programs and procedures, and helping connect families with their next beloved pet. You will play an important role in ensuring animals leaving the shelter are in compliance with County ordinances, regulations, and North Carolina state laws while supporting the daily administrative operations of the department. The Animal Services Department is dedicated to protecting public health and safety by enforcing state and local animal laws, responding to stray, domestic, livestock, exotic, and potentially dangerous animals, and providing shelter, care, and opportunities for adoption and reunification. As an Administrative Assistant, you'll be part of a team committed to serving both the community and the animals that depend on us. If you thrive in a fast-paced environment, enjoy interacting with the public, and want a career where your work truly makes a difference every day, we encourage you to apply. Serve as the first point of contact for the public by providing courteous and professional customer service in person and over the phone regarding Animal Services programs, policies, and ordinances. Receive and process stray, surrendered, and unwanted animals by collecting required information, scanning for microchips, and completing intake documentation. Assist citizens with locating lost pets, reclaiming impounded animals, and navigating the pet adoption process from application through completion. Maintain accurate customer and animal records by entering and updating information in the shelter management system, including licensing, rabies, medical, and identification records. Prepare and process adoption documentation, contracts, receipts, vouchers, microchip registrations, county licenses, and related paperwork while ensuring all required signatures are obtained. Process financial transactions, including cash, checks, and credit/debit card payments, and accurately assess and collect applicable fees, fines, and citations. Answer incoming calls, gather detailed information, and create service requests for Animal Control Officers to ensure timely and accurate response to citizen concerns. Contact pet owners regarding impounded animals, rabies testing requirements, adoption inquiries, and other shelter-related services while providing clear and accurate information. Assist customers with public records requests and maintain organized electronic and hard-copy files in accordance with departmental procedures. Maintain a clean, safe, and welcoming reception, adoption, and animal drop-off areas by performing routine housekeeping duties, sanitizing public spaces, and working collaboratively with shelter staff to provide excellent customer service. High school diploma or GED and the ability to perform the primary duties of the position.
