We're growing quickly and looking for a detail-oriented, client-focused professional to be the first voice prospective clients hear when they call our firm. About the Role As our Virtual Intake Specialist, you will be the front line of our client experience by fielding inbound calls and leads, qualifying prospective clients, converting inquiries into scheduled consultations, and guiding new clients through onboarding. This is a fully remote position, but it requires reliable high-speed internet, a quiet dedicated workspace, and availability during core business hours. Key Responsibilities
- Answer and manage inbound phone calls, emails, and web/chat leads promptly and professionally
- Conduct initial intake screening: gather case details, identify conflicts, and assess fit for the firm's practice areas
- Log and track all leads accurately in the firm's lead-tracking systems
- Follow up consistently with prospective clients to convert inquiries into scheduled consultations
- Schedule consultations and coordinate attorney calendars
- Onboard new clients: explain fee agreements, firm processes, and expectations for communication
- Maintain accurate, up-to-date client records in MyCase
- Escalate urgent or sensitive matters (e.g., safety concerns, emergency filings) to the attorney immediately
- Meet weekly KPIs for lead response time, consultation conversion, and follow-up completion Qualifications
- 1+ years of experience in intake, client services, sales, or a customer-facing role (law firm or professional services experience strongly preferred)
- Excellent phone presence, written communication, and active listening skills
- Comfortable working with case management/CRM software (MyCase experience a plus)
- Highly organized with strong attention to detail and follow-through
- Ability to handle sensitive, emotionally charged conversations with empathy and professionalism
- Self-motivated and reliable in a remote work environment
- Familiarity with the Houston/Harris, Fort Bend, Brazoria, or Galveston County area a plus What We Offer
