About the Role We are seeking a highly organized, detail-oriented, and dependable Document Control Specialist to manage and maintain company documentation throughout its entire lifecycle. The ideal candidate will ensure that documents are accurate, properly formatted, reviewed and approved, securely stored, version-controlled, and readily accessible to authorized personnel. This position is well suited for someone who enjoys working with details, maintaining organized systems, and coordinating documentation across multiple teams. Key Responsibilities Manage the creation, revision, distribution, tracking, and archiving of controlled documents. Maintain accurate document registers, databases, and electronic filing systems. Ensure documents are properly formatted, numbered, version-controlled, and approved. Monitor document revisions and ensure obsolete documents are removed from active use or properly archived. Coordinate document reviews and approvals with internal teams, clients, and other stakeholders. Track document status, deadlines, revisions, and outstanding approvals. Ensure documentation complies with company policies, project requirements, and applicable standards. Prepare document-control reports, logs, and status updates as needed. Support internal and external audits by providing accurate, complete, and traceable documentation. Maintain the confidentiality and security of sensitive company information. Identify opportunities to improve document-control procedures, filing systems, and overall document-management efficiency. Provide administrative and documentation support to project and cross-functional teams as needed. Qualifications High school diploma or equivalent required; an associate or bachelor's degree is preferred. Minimum of 2 years of experience in document control, records management, project administration, or a related field. Bilingual English and Mandarin proficiency, both written and verbal, is required.

experience is preferred. Strong attention to detail and excellent organizational skills. Proficiency in Microsoft Office, particularly Word, Excel, and Outlook. Experience with document management, records management, or project management systems is preferred. Strong written and verbal communication skills. Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment. Ability to work independently while collaborating effectively with cross-functional teams. Strong problem-solving skills and a proactive approach to process improvement. Preferred Industry Experience Experience in construction, engineering, manufacturing, energy, healthcare, or another regulated or document-intensive industry is a plus. Experience working with project documentation, engineering drawings, contracts, quality records, compliance documentation, or other controlled records is highly desirable.
