Description We are looking for a Records Associate to support records operations in a corporate law firm setting in Los Angeles, California. This Long-term Contract position is ideal for someone who takes pride in accuracy, confidentiality, and responsive service while managing physical and electronic files. The role works closely with internal teams and external partners to maintain organized records, complete scanning and retrieval requests, and ensure information is handled in line with firm policies.
Responsibilities:
- Manage the full lifecycle of client and matter files, including setting up new records, updating existing files, and preparing closed materials for storage or destruction.
- Enter and maintain accurate information in records databases while monitoring file activity, locations, and status changes.
- Organize, label, shelve, relocate, and retrieve files to support timely responses to internal and client-related requests.
- Process incoming records and ensure documents are filed correctly under the appropriate client matters.
- Carry out daily scanning tasks, review image quality, and save documents into the document management system with proper indexing and profiling.
- Coordinate scanning, retrieval, and records-related projects with other departments, team members, and outside vendors.
- Use barcode scanning tools and tracking logs to monitor file movement across internal offices and off-site storage locations.
- Support retention and confidentiality standards by following records procedures, managing shred bin activity, and handling sensitive information with discretion.
- Research client and matter details across firm systems and provide additional records support as business needs require. Requirements
- High school diploma or equivalent required; additional college education is preferred.
- Previous experience in legal records, records management, or a law firm support environment is preferred.
- Strong written and verbal communication skills with the ability to interact professionally with clients, colleagues, and vendors.
- Demonstrated attention to detail, sound organizational skills, and the ability to manage multiple priorities with limited supervision.
- Working knowledge of Microsoft Word, Excel, Outlook, and Windows-based computer systems.
- Familiarity with document management, records management, or scanning platforms such as Adobe Acrobat, eDocs DM, Autonomy, or similar tools is preferred.
- Ability to handle confidential information responsibly and follow established retention and records procedures.
- Capable of performing physical tasks such as lifting up to 50 pounds, moving file carts, and using step stools or short ladders as needed.
