Job Description
Description We are looking for a Records Digitization Specialist to support document management operations in Virginia Beach, Virginia. This Long-term Contract position focuses on transforming physical records into accurate, accessible digital files while helping maintain a well-structured electronic repository. The ideal candidate brings strong attention to detail, experience handling high volumes of documentation, and a disciplined approach to record organization.
Responsibilities:
- Operate scanning equipment to capture paper records and convert them into clear, usable digital documents.
- Review files for completeness and image quality to ensure scanned materials meet documentation standards.
- Apply consistent indexing methods so electronic records can be searched, retrieved, and tracked efficiently.
- Organize and maintain digital folders and filing structures to support accurate document storage.
- Compile and prepare batches of records for scanning, upload, and archival processing.
- Monitor document handling workflows to preserve confidentiality, accuracy, and proper version control.
- Identify missing, duplicated, or unreadable files and take corrective action to maintain record integrity. Requirements
- At least 2 years of experience in document control, records management, or a related document processing role.
- Hands-on experience scanning large volumes of documents and converting physical files into digital formats.
- Working knowledge of indexing practices and electronic filing systems.
- Strong attention to detail with the ability to maintain accuracy in repetitive tasks.
- Ability to organize, compile, and manage documents in a structured and efficient manner.
- Basic proficiency with office technology and computer-based document management tools.
- Ability to handle sensitive records with discretion and follow established procedures consistently.
