This role is critical in shaping the client's experience and guiding individuals through the initial stages of their case. You will connect with potential new clients (PCs), understand their situations, and help convert inquiries into signed cases through professionalism, empathy, and strong communication skills. ________________________________________ Key Responsibilities Client Communication & Intake Communicate directly with prospective new clients via phone, email, text, and web inquiries Build rapport and gather detailed information about potential cases Guide clients through the intake and onboarding process with clarity and empathy Act as a key contributor in converting leads into retained clients Administrative & Case Support Schedule consultations with attorneys or case managers Send and track fee agreements and onboarding documents Maintain accurate and detailed records in the firm's CRM/case management system Perform consistent follow-ups with prospective clients to complete intake requirements Daily Expectations Handle incoming calls and respond to all new inquiries promptly Follow up with prospective clients multiple times using various communication methods Monitor intake pipelines and update lead statuses regularly Coordinate closely with attorneys and legal staff regarding new matters Ensure all onboarding documents are completed and properly filed Assist with scheduling and calendar management for consultations ________________________________________ Compliance & Confidentiality Maintain strict confidentiality of all client information Adhere to all ethical standards and firm policies Ensure compliance with legal intake and data privacy requirements ________________________________________
Qualifications Required:
Excellent verbal and written communication skills Strong phone presence and ability to build trust quickly High emotional intelligence, empathy, and active listening skills Ability to handle sensitive situations with professionalism Detail-oriented with strong organizational skills Experience using case management systems
Preferred:
2+ years of intake, customer service, or sales experience Prior experience in a law firm or personal injury setting Ability to multitask in a fast-paced environment Bilingual ________________________________________
