In this role, you will provide essential administrative and research support across a variety of legal practice areas, including Employment Law and Intellectual Property. Your proactive approach and strong communication skills will help ensure smooth case management, accurate document preparation, and efficient client interactions. Duties Conduct client intake and assist in managing the firm's intake system, including preparing and presenting summaries of potential clients to attorneys, conducting conflict checks, preparing retainer agreements, and tracking all incoming intakes. Conduct extensive docketing, especially including for the firm's Intellectual Property Clients. This includes updating and maintaining calendars, and tracking deadlines and ensuring the completion of deadlines. Provide executive administrative support by assisting the managing attorney and firm calendars, scheduling meetings, answering phones with professional etiquette, and preparing reports as needed. Assist attorneys with legal research using LexisNexis and other research tools to gather relevant case law, statutes, and regulations. Prepare, review, proofread, and E-file legal documents such as pleadings, discovery submissions, arbitration/mediation documents, and etc. Manage cases from beginning to close and manage case files, ensure all files are organized, updated, and compliant with internal protocols and procedural law requirements. Maintain attorney case lists and work with firm administrators regarding closed files. Provide wide-ranging administrative support including anticipating client and attorney needs, providing proactive support to address all needs, and maintaining a presentable front desk environment and managing incoming phone calls. Handle confidential information with integrity while maintaining strict adherence to privacy standards. Coordinate project management tasks related to ongoing cases or legal initiatives to ensure timely completion of milestones. Skills Knowledge of legal procedures across Employment Law and Intellectual Property. Proficiency in legal research platforms including LexisNexis; strong research skills to locate relevant case law and statutes efficiently. Experience with legal case management; and adept at document review, data entry, filing systems, and document management workflows. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong written communication skills for drafting legal documents and correspondence; keen proofreading abilities to ensure accuracy. Exceptional client communication skills; professional phone etiquette when interacting with clients or external parties. Familiarity with procedural law knowledge across diverse jurisdictions; understanding of civil litigation processes from initial filing through trial support. Ability to handle confidential information discreetly while maintaining compliance with privacy standards. Competence in Microsoft Office Suite (Word, Excel) for document creation and data management; experience with legal writing and supporting litigation efforts. Demonstrated ability to manage multiple projects simultaneously while maintaining attention to detail in a deadline-driven environment. Requirements Associates Degree required. Bachelor's Degree preferred. At least 6 months of Office experience required. At least 6 months of Legal Assistant experience is preferred. Proven proficiency in Microsoft Word, Adobe and Excel.
