Job Description

Position:
Probate Paralegal Position Summary We are seeking an experienced and highly organized Probate Paralegal to support attorneys in all aspects of probate and estate administration matters. The ideal candidate will have strong knowledge of Florida probate procedures, excellent organizational and communication skills, and the ability to manage multiple estate matters from commencement through completion. The Probate Paralegal will work closely with attorneys, personal representatives, beneficiaries, financial institutions, court personnel, and other professionals to ensure that estate administration matters are handled efficiently, accurately, and in accordance with Florida law and applicable court rules. Essential Duties and ResponsibilitiesProbate & Estate Administration Assist attorneys with formal, summary, and ancillary administration proceedings. Prepare and assist with preparation of probate pleadings, petitions, notices, affidavits, proposed orders, inventories, accountings, and other court documents. Assist with preparation and filing of documents through the Florida Courts E-Filing Portal. Monitor court dockets and deadlines and maintain accurate case calendars. Assist with obtaining and reviewing death certificates, beneficiary information, asset documentation, account statements, and other estate records. Assist with identifying, gathering, valuing, and documenting estate assets. Assist with creditor claims, creditor notices, and creditor-related issues. Communicate with financial institutions, insurance companies, governmental agencies, taxing authorities, and other third parties concerning estate matters. Assist with preparation of estate accountings and distributions. Assist with preparation of documents necessary to transfer or distribute estate assets. Coordinate with personal representatives, beneficiaries, CPAs, financial advisors, appraisers, realtors, and other professionals. Assist attorneys with estate tax and income tax matters by gathering necessary documentation and coordinating with tax professionals. Assist with preparation of final accounting, petition for discharge, and documents necessary to close the estate. Maintain accurate and complete electronic and physical client files. Litigation Support Assist attorneys with contested probate and trust matters when necessary. Prepare discovery documents, notices, subpoenas, exhibits, and other litigation materials. Assist with organizing documents and evidence for hearings, mediations, and trials. Maintain litigation calendars and monitor deadlines. Assist with preparation of hearing and trial binders. Client Communication Communicate professionally and compassionately with clients, personal representatives, beneficiaries, and other interested parties. Provide clients with updates regarding the status of their matters as directed by the attorney. Obtain information and documentation from clients necessary to administer estates. Respond to routine client inquiries and identify issues requiring attorney attention. Maintain a high level of confidentiality and professionalism when handling sensitive estate matters. Qualifications 2+ years of paralegal experience , preferably in probate, estate planning, trust administration, or probate litigation. Strong knowledge of Florida probate law and procedure preferred. Familiarity with the Florida Statutes, Florida Probate Rules, and Florida Courts E-Filing Portal . Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple matters and competing deadlines. Ability to work independently while also functioning effectively as part of a legal team. Strong computer skills and proficiency with Microsoft Office. Experience with legal case-management software preferred. Ability to maintain strict confidentiality regarding client and estate information. Ability to review and organize substantial quantities of electronic and paper documents. Ability to meet deadlines and work effectively in a professional law-office environment.
