Position Overview Power Your Future with Qualus as a Legal Administrative Assistant in our Legal team! The Legal Administrative Assistant reports to the General Counsel and is primarily responsible for working collaboratively with internal stakeholders to assist with organization, coordination and support. The Legal Administrative Assistant also provides support for several administrative tasks including managing and maintaining all company-wide licensing and assisting the legal team with contracting process and contract management systems. Incentives This position is on-site in Lake Mary, full-time, Monday to Friday. Responsibilities Administrative Tasks, including: Manage and maintain all company-wide licensing, including Certificates of Authority, Professional Engineering, General Contractor, and other business licenses Assist with managing the Legal Department's document management repositories, contract management system, and other information repositories to promote efficiency and centralize key templates, policies, processes, memos, etc. From time to time, assist with requests for certificates of insurance Update and create spreadsheets Assist with any other projects or tasks as assigned Coordinate or complete various office tasks, such as: Front desk coverage, including answering phones and greeting clients and visitors in lobby Assistance with coordinating and managing office events and meetings Assist with daily mail sorting Ensuring office organization and cleanliness Assist with special projects and tasks as needed Minimum Qualifications High school diploma or equivalent 2-3 years of relevant administrative support experience Previous experience in a professional office environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Ability to prioritize multiple, sometimes competing, projects while being thorough, exercising sound judgment and managing expectations Client-service focused with strong people skills Ability to independently engage in strategic thinking, and finding creative solutions Positive, can-do attitude with a willingness to take initiative #LI-JD1 Benefits & Compensation Qualus benefits offered include Medical, Dental, Vision, Life Insurance, Short and Long-Term Disability, 401(k) match, Flexible Spending Accounts, EAP, Parental Leave, Paid time off, and Holidays, for those who qualify.
