Seeking full-time Estate Planning Paralegal. An established Brevard County law firm is seeking a full-time Estate Planning Paralegal to assist attorneys with estate planning matters, document preparation, client communication, scheduling, and ongoing file management. The ideal candidate will have direct estate planning experience or significant experience in a closely related practice area and be comfortable independently managing routine workflows with attorney oversight. This position requires exceptional organization, attention to detail, professional client communication, and the ability to keep multiple matters moving efficiently through each stage of the estate planning process.
Responsibilities:
Manage and maintain client files throughout the estate planning process using the firm's practice-management system, workflows, and task management tools. Schedule consultations, document signings, follow-up appointments, and other client meetings. Serve as a consistent point of communication for clients by telephone, email, and in-person meetings. Draft initial estate planning documents and prepare revisions under attorney direction. Coordinate document review and execution with attorneys and clients. Assist with attorney calendar management and scheduling. Communicate with attorneys regarding new and active matters and seek attorney guidance when appropriate. Maintain accurate electronic client files, workflow status, and case-related records. Scan and organize completed documents and assist with electronic recording when applicable. Calendar important dates, follow-up activities, and other deadlines associated with client matters. Help ensure estate planning matters move efficiently from initial consultation through document execution and completion. Required Qualifications Associate and/or bachelor's degree in Paralegal Studies. Strong verbal and written communication skills. Excellent organizational and time-management skills. Exceptional attention to detail. Ability to independently manage routine workflows, scheduling, and multiple active client matters. Professional and compassionate demeanor when working with clients, including elderly individuals and their families. Comfortable working with legal technology and practice-management software. Professional demeanor and presentation. Strongly Preferred Hands-on estate planning experience or significant experience in a closely related practice area. Florida Registered Paralegal status and/or NALA certification. Current Notary Public commission. Previous experience preparing estate planning documents, coordinating signings, managing client communication, and maintaining attorney calendars.
