Position Overview We are seeking an experienced Litigation Legal Assistant to join our growing team in our Stuart office. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment while providing reliable administrative and legal support to attorneys and paralegals throughout the litigation process. Schedule Full-time Monday-Friday On-site position; no remote work Bilingual in English and Spanish preferred, but not required. Essential Duties & Responsibilities Provide comprehensive administrative and legal support to attorneys and paralegals throughout all phases of personal injury litigation. Maintain organized electronic and physical case files, ensuring documents and case information are accurate and up to date. Prepare, review, proofread, and format legal documents, including pleadings, motions, discovery, subpoenas, notices, and correspondence, for attorney review and filing. Prepare and coordinate court filings through the Florida E-Filing Portal and assist with ensuring compliance with applicable filing requirements and deadlines. Maintain attorney calendars and coordinate scheduling of hearings, depositions, mediations, inspections, client meetings, and other case-related events. Communicate professionally with clients, opposing counsel, court personnel, medical providers, expert witnesses, insurance representatives, and other third parties. Monitor case deadlines and maintain litigation calendars to support timely completion of required tasks. Assist with the discovery process by organizing discovery materials, tracking responses and production, preparing documents for attorney review, and maintaining discovery deadlines. Request, obtain, organize, and maintain medical records, billing records, lien information, and other case-related documentation. Prepare documents, correspondence, exhibits, and other case materials for attorney and paralegal review. Assist with the preparation and organization of trial materials, including trial notebooks, exhibits, witness files, and deposition materials. Assist attorneys and paralegals with case preparation, document organization, and other litigation-related tasks. Perform additional administrative and legal support duties as assigned. Request and follow up on medical records, bill requests, health liens, etc. Qualifications Minimum of 2 years of litigation legal assistant experience, preferably in Plaintiff Personal Injury. Strong understanding of Florida court procedures, civil litigation processes, and litigation deadlines. Experience with the Florida E-Filing Portal. Excellent written and verbal communication skills. Exceptional organizational and time management skills with the ability to prioritize multiple deadlines. Strong attention to detail and commitment to accuracy. Ability to work independently while collaborating effectively with attorneys, paralegals, and other team members. Professional demeanor with a strong commitment to providing exceptional client service. Proficiency in Microsoft Office Suite, including Word, Outlook, and Excel.
