Job Description

Estate Planning Legal Assistant A growing law firm is seeking an organized, dependable, and client-focused Estate Planning Legal Assistant to support its attorneys and estate planning team. This position is ideal for someone who is detail-oriented, enjoys working directly with clients, and is comfortable managing documents, deadlines, and multiple matters at once. Primary Responsibilities Assist attorneys with estate planning matters from intake through signing and completion Communicate with clients regarding scheduling, document collection, questionnaires, and next steps Prepare and organize estate planning documents, including trusts, wills, powers of attorney, healthcare directives, deeds, and related documents Review documents for completeness, formatting, consistency, and accuracy Prepare signing packets and assist with execution meetings Coordinate notarization, witnesses, recording, and document distribution Prepare and submit deeds and other documents for recording Maintain accurate client files and matter records Track outstanding client information and follow up as needed Schedule client meetings and attorney appointments Manage estate planning checklists, deadlines, and workflows Assist with trust funding and asset-transfer documentation Communicate professionally with clients, financial advisors, CPAs, title companies, and other professionals Maintain strict confidentiality of all client and firm information Assist with general administrative and legal support as needed Qualifications Strong organizational skills and attention to detail At least 2 years of estate planning experience Excellent written and verbal communication skills Professional and comfortable communicating with clients Ability to manage multiple matters and deadlines Strong Microsoft Word and general computer skills Ability to learn legal software and firm procedures Reliable, responsive, and able to work independently Prior legal assistant, paralegal, estate planning, probate, or law firm experience preferred, but not required for the right candidate Preferred Experience Estate planning or probate Trusts and wills Real estate deeds and recording Client intake Document management Legal case management software Adobe Acrobat / Adobe Sign Microsoft 365 Asana or other workflow-management systems What We Are Looking For Warm and professional with clients Highly organized Careful with details Comfortable taking ownership of tasks Good at following systems and checklists Willing to ask questions when something is unclear Able to anticipate what needs to happen next Interested in becoming an important long-term member of the estate planning team The successful candidate should be able to move estate planning matters forward without constant attorney supervision, while recognizing when an issue requires attorney review.
Pay:
$27.00 - $33.00 per hour Expected hours: 40.0 per week
