The Legal Assistant is responsible for providing case-management and administrative support for the Prosecuting Attorney's Office, including maintaining cases, preparing court filings, coordinating case activities, and assisting the public
Essential Duties and Responsibilities:
Duties include, but are not limited to: 1. Answers the telephone and responds to inquiries from callers, directs calls to the appropriate person or department, and takes messages, as needed. 2. Greets the public at the window and assists individuals by directing them to the appropriate person or department. 3. Enters new criminal cases and maintains these cases to include scheduling hearing dates on the Chief Deputy Prosecuting Attorney's calendar. 4. Processes juvenile charges and infraction deferrals. 5. Oversees infraction case management. 6. Retrieves documents from the law enforcement system and enters the documents into the Prosecutor Case Management Software System (PCMS). 7. Builds the new case documents and electronically files the case documents through the electronic filing system. 8. Prepares and sends subpoenas for jury trials and prepares the jury trial notebooks. 9. Electronically files violations of probation and home detention, as needed. 10. Prepares and electronically files motions, as needed. 11. Builds and maintains all criminal cases in the Superior Court and Circuit Court primarily for the Chief Deputy Prosecuting Attorney, but also for the Prosecuting Attorney, as needed to include: entering and building cases; performing discoveries; issuing subpoenas; scheduling appointments; scheduling and arranging depositions; scanning; prepping for trials and fielding phone calls regarding cases. 12. Closes cases by retrieving the plea and judgments and entering them according to the disposition order by the court into Prosecutor Case Management Software System (PCMS). 13.
Completes administrative duties to include:
attending meetings, reviewing statistics and reports, completing various reports, answering inquiries etc., as needed. 14. Maintains effective communications with the Prosecuting Attorney.

Experience:
High school diploma or general education degree (GED); and one-year related experience and/or training; or equivalent combination of education and experience. Previous clerical or administrative experience is required. Previous experience working in a Prosecuting Attorney's Office is desired.
Other Skills and Abilities:
The following skills and abilities are either required or desired.
- Computer software skills required include: Microsoft Outlook, Word, Excel, PowerPoint and the Prosecutor Case Management Software System (PCMS).
- A working knowledge of procedures, methods, and policies of the Court program area is required.
- A working knowledge of the legal process of the Indiana Rules of Court and legal terminology is required.
- The ability to understand and comply with the retention schedules outlined in the Indiana Rules of Court is required.
- A basic understanding of general accounting principles and practices and report writing, while paying close attention to detail is required.
- The ability to maintain confidentiality of Court proceedings is required.
- The ability to effectively communicate on a one-on-one basis with the public is required.
- The ability to work with other County offices internally and externally to resolve citizen issues is required.
- The ability to attend meetings and seminars as requested is required.
- The ability to operate a computer, printer, copy machine, scanner, fax machine, and other office equipment is desired.
- The ability to speak, read and write in English is required.
Spanish is desired.

While performing the duties of this job, the employee occasionally is exposed to working near moving mechanical parts and the risk of electrical shock when working with office equipment and outdoor weather conditions. The noise level in the work environment is usually quiet to moderate. While the offices of Adams County are usually open from 8:00 a.m. to 4:00 p.m., Monday through Friday, this position may require work beyond these hours and on the weekends. It also may require the ability to drive a County vehicle. Thus, a valid driver's license is required.
Pay:
$19.32 per hour Expected hours: 40.0 per week
