The Bookkeeper/Legal Assistant is primarily responsible for maintaining the firm's financial and bookkeeping records, including billing, accounts receivable, accounts payable, reconciliations, client account balances, deposits, and other financial functions. The position also provides legal administrative support to attorneys and staff as needed. This is a full-time position, Monday through Friday, with regular hours of 8:00 a.m. to 4:30 p.m.
Bookkeeping / Accounting
Responsibilities Maintain accurate financial records for the firm. Process accounts payable and accounts receivable. Record and reconcile firm transactions and accounts. Prepare and process client invoices and statements. Monitor client account balances and payments. Post client payments and maintain accurate billing records. Process deposits and checks. Reconcile bank accounts and other firm accounts on a regular basis. Assist with payroll and payroll-related records as needed. Maintain records for firm expenses and vendor payments. Assist with monthly and year-end financial reporting. Communicate with the firm's accountant, financial institutions, vendors, and other financial contacts as needed. Maintain accurate and confidential financial and client-account information. Legal Assistant Responsibilities Provide administrative support to attorneys and assist with the overall effectiveness of the office. Communicate professionally with clients. Type, prepare, and send correspondence. Answer and direct telephone calls. Assist attorneys and staff with other administrative and legal support tasks as needed. Qualifications Bookkeeping or accounting experience required. Experience with law-firm bookkeeping, legal billing, or trust/IOLTA accounting preferred. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to work independently and meet deadlines. Strong written and verbal communication skills. Ability to maintain confidentiality. Proficiency with Microsoft Office, particularly Excel. Experience with accounting, bookkeeping, or legal billing software preferred. Prior legal-office experience is helpful but not required. Position Emphasis The primary focus of this position is bookkeeping and financial responsibilities, with a smaller portion of the position devoted to legal assistant and general office duties.
