Attorney(s) Position Summary Our law firm is seeking a highly organized, detail-oriented Legal Assistant whose primary responsibility will be managing residential and commercial real estate transactions from contract to closing. The ideal candidate will possess strong communication skills, excellent attention to detail, the ability to manage multiple deadlines, and a commitment to delivering exceptional client service. This position requires frequent interaction with clients, lenders, real estate agents, title companies, surveyors, and governmental offices to ensure smooth and timely closings. Essential Duties and ResponsibilitiesReal Estate Closing Responsibilities Open and maintain residential and commercial real estate files. Review purchase contracts and related transaction documents. Order and review title examinations, surveys, payoffs, tax information, and other due diligence materials. Prepare title commitments, title opinions, title certifications, and closing documents as directed by the attorney. Coordinate with buyers, sellers, lenders, real estate agents, surveyors, and title insurance underwriters. Obtain and review lender closing instructions. Prepare settlement statements and closing disclosures. Schedule and coordinate real estate closings. Communicate regularly with all parties regarding transaction status and closing requirements. Assist with title curative matters and resolution of closing issues. Record deeds, deeds of trust, and other closing documents with appropriate governmental agencies. Conduct post-closing audits and ensure completion of all post-closing tasks. Organize and maintain electronic and physical closing files. General Legal Assistant Responsibilities Draft correspondence and routine legal documents. Maintain attorney calendars and schedule appointments. Answer telephone calls and communicate professionally with clients and third parties. Receive, scan, file, and maintain legal documents. Monitor deadlines and follow up on outstanding matters. Assist attorneys with special projects and administrative tasks. Maintain client confidentiality and comply with ethical obligations applicable to law firms. QualificationsRequired High school diploma or equivalent. Minimum of 2 years of experience in residential and/or commercial real estate closings, legal support, title insurance, mortgage lending, or a related field. Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to prioritize multiple projects in a fast-paced environment. Strong attention to detail and accuracy. Professional demeanor and customer-service orientation. Preferred Associate's degree, paralegal certificate, or equivalent legal experience. Experience with real estate closing software and title insurance platforms. Familiarity with title examinations, title insurance, and recording requirements. Experience working in a law firm, title company, or real estate office. Knowledge, Skills, and Abilities Understanding of residential and commercial real estate transactions. Ability to identify and resolve document deficiencies. Strong problem-solving and critical-thinking abilities. Ability to work independently while collaborating effectively with attorneys and staff. Ability to maintain strict confidentiality. Proficiency in document management and electronic filing systems. Physical Requirements Prolonged periods of sitting and working at a computer. Ability to occasionally lift files and office materials weighing up to 20 pounds. Ability to attend closings and meetings as needed. Compensation and Benefits Competitive salary based on experience.
