Role Description The Legal Administrative Assistant is a full-time, hybrid role based in Bernardsville, NJ. This position supports attorneys with day-to-day administrative and legal tasks, including file opening including, but not limited to, downloading of documents from portals, file set up, conflict check cirulcation and database cross-reference, preparing file opening documents contained within forms bank following case assignment, formatting, and proofreading legal documents, correspondence, and filings. Training will be conducted for downloading and uploading of documents to client portals. Responsibilities also include backup for legal assistants which includes maintaining case files and calendars, scheduling meetings and court appearances, managing phone calls and email communications, and organizing file documents electronically. The role involves coordinating with courts and external parties and ensuring that deadlines and procedural requirements are met. The Legal Administrative Assistant contributes to a professional office environment by providing reliable support, maintaining confidentiality, and helping the team operate efficiently. Qualifications Knowledge of law and litigation processes, with the ability to understand legal terminology and basic court procedures. Proficiency in legal document preparation, including drafting, formatting, and managing pleadings, motions, and correspondence. Strong communication skills for interacting with attorneys, clients, courts, and external partners in a clear and professional manner. Administrative assistance capabilities, including scheduling, file management, data entry, and handling phone and email communications. Organization skills to manage multiple matters, prioritize tasks, meet deadlines, and maintain accurate records. Proficiency with office and legal software (e.g., Microsoft Office, familiarity with e-filing platforms is a plus). Attention to detail, discretion, and a commitment to maintaining confidentiality in handling sensitive information. Ability to work collaboratively in a team-oriented environment and adapt to changing priorities. Previous experience in a law firm or legal setting preferred or relevant coursework is beneficial.
