Job Description

Overview Full time legal assistant position for busy solo practitioner in Clark, NJ. Experience in Real Estate is preferred but not required as we are willing to train the right candidate. Bilingual in Spanish, and Notary Public Certification are pluses, but not required. Position will require employee to assist the firm's Real Estate department with the following duties: Open files (both digital and hard file), update database with client contact information, print documentation; Prepare retainer letters. Assist in preparation of correspondences between attorneys such as addendums, escrow letters, inspection letters, timelines and sale documents. Perform OPRA and flood searches; Prepare federal express packages, and print closing documents. Responsibilities Manage and organize legal documents, correspondence, and case files with precision and confidentiality Communicate effectively with lenders, realtors and title agency via phone and email to ensure timely follow-up on files. Handling calls professionally and courteously while providing excellent customer service Prepare, edit, and format legal documents using Microsoft Office Suite including Word and AdobeSign Perform data entry tasks accurately within legal databases (CLIO) and document management systems Support other staff in Litigation and Workers Compensation Departments with administrative tasks, if necessary. Requirements Proven experience in an office environment with clerical or administrative responsibilities; prior legal or law firm experience is a plus Strong computer skills including proficiency in Microsoft Office (Word, Excel), data entry, and familiarity with productivity software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support Bilingual abilities are highly desirable to assist diverse client needs Technical proficiency in office management tools such as spreadsheets, document processing software, and client communication platforms Ability to manage time efficiently while juggling multiple responsibilities Join us in this engaging role where your organizational talents will help streamline our legal operations while delivering exceptional service to clients.
