Bilingual Legal Assistant & Client Intake Specialist Full-Time | $23.00-$28.00 per hour | Spanish Required We are seeking a highly organized, personable, and motivated Bilingual Legal Assistant & Client Intake Specialist to join our law firm. This is a full-time, client-facing position with a primary focus on supporting our traffic and criminal practice, managing prospective client intake, and helping convert qualified inquiries into new clients. The ideal candidate is fluent in English and Spanish, communicates confidently and professionally by phone, stays on top of details and follow-up, and is comfortable discussing the firm's services and established fees with prospective clients. This position will also provide legal and administrative support across the firm, including our growing matrimonial and family law practice. Key ResponsibilitiesClient Intake & New Business Serve as a primary point of contact for prospective clients contacting the firm regarding traffic, criminal, and other legal matters. Conduct initial client intake, gather relevant information, and accurately document prospective client inquiries. Explain the firm's established process, services, and approved fee ranges for routine traffic and certain criminal matters. Confidently answer questions within established firm guidelines and help qualified prospective clients move forward with retaining the firm. Provide prospective clients with appropriate engagement documents and payment information in accordance with firm procedures. Promptly follow up with prospective clients who have not yet retained the firm. Maintain accurate records of new inquiries, follow-ups, consultations, retainers, and client communications. Work toward established goals for response time, follow-up, and conversion of qualified inquiries into retained clients. Recognize when a question or matter requires attorney involvement and escalate it appropriately. Traffic & Criminal Case Support Take an active role in managing the firm's traffic-ticket workflow and ensure matters are handled promptly and accurately. Communicate with existing clients regarding documents, scheduling, case information, and status updates as appropriate. Organize and maintain electronic client files and case documentation. Assist with court filings, correspondence, discovery, and case preparation. Communicate professionally with courts, clients, attorneys, and other legal professionals. Monitor court dates, deadlines, appointments, and attorney calendars. Help ensure client communications and required follow-ups are completed in a timely manner. General Legal Support Provide administrative and case support as the firm's matrimonial and family law practice continues to grow. Assist with client intake, document collection, file organization, correspondence, scheduling, and case administration. Communicate with Spanish-speaking clients and provide translation or interpretation assistance when needed. Assist attorneys and other team members with general legal and administrative responsibilities. Provide support for other practice areas, including occasional Trusts & Estates matters, as needed. Qualifications Minimum of 1-2 years of experience in a legal assistant, legal administrative, paralegal, legal intake, or similar professional role. Fluent in English and Spanish, both spoken and written — required. Excellent telephone, interpersonal, and client-service skills. Comfortable speaking with prospective clients about legal services and established fees and asking them to move forward with retaining the firm. Strong follow-up skills and the ability to build rapport quickly with prospective clients. Highly organized and able to manage multiple matters, deadlines, and follow-ups simultaneously. Strong attention to detail and written communication skills. Ability to follow established firm procedures while recognizing when a matter should be escalated to an attorney. Proficiency with Microsoft Office and comfort learning legal practice-management and client-management software. Preferred Qualifications Previous experience with legal intake or prospective client conversion. Traffic and/or criminal law experience. Matrimonial or family law experience. Experience with court e-filing systems. Experience with Clio, MyCase, PracticePanther, or similar legal practice-management software. Notary Public certification.
