In-Person Compensation:
$18-$23 per hour, depending on experience Monah Law Offices, Inc. is a growing civil litigation firm in Beachwood, Ohio. We are seeking a professional, dependable, and organized Legal Receptionist / Office Assistant to serve as the firm's primary front-office support person. This position will handle incoming calls, scheduling, document management, client communications, and routine administrative work so that the firm's attorneys, paralegals, and case-management staff can remain focused on substantive legal work. Responsibilities Answer incoming telephone calls professionally and promptly. Determine the purpose of calls and route them to the appropriate attorney or staff member. Take complete and accurate messages. Schedule client meetings, consultations, telephone conferences, Zoom/Teams meetings, and other appointments. Confirm appointments and assist with rescheduling when necessary. Greet clients and visitors to the office. Assist prospective clients with basic intake information and route potential new matters appropriately. Upload documents, correspondence, photographs, records, and other materials into the correct Clio matter. Properly name, organize, and maintain electronic documents and client files. Scan and process incoming mail and documents. Save appropriate emails and attachments to client matters. Assist with opening new client matters and maintaining accurate contact information. Send routine appointment confirmations, document requests, and other approved administrative communications. Assist with obtaining documents and following up on routine outstanding items. Receive documents from clients and ensure they are placed in the appropriate matter for review. Process incoming and outgoing mail and deliveries. Maintain office supplies and assist with general office organization. Assist with copying, scanning, printing, assembling documents, and preparing correspondence for mailing. Provide administrative support to the firm's attorneys, paralegals, and case-management staff. Maintain confidentiality of all client and firm information. Perform other reasonable administrative duties necessary to keep the office running efficiently. What This Position Does Not Require The Office Assistant is not expected to provide legal advice, make legal judgments, draft substantive pleadings, negotiate claims, or independently manage litigation. The position is designed to handle routine administrative work efficiently and to recognize when a question or issue needs to be escalated to an attorney, paralegal, or case manager. Qualifications Prior law-office experience is preferred but not required. The successful candidate should have excellent telephone etiquette, professional written and verbal communication skills, strong organization and attention to detail, and the ability to manage multiple tasks without losing track of follow-up. Candidates should also be comfortable working with computers and learning new systems. Experience with Microsoft Outlook, Word, Adobe Acrobat, Clio, or another case-management system is helpful. Reliability, punctuality, discretion, professionalism, and the ability to work well with clients and coworkers are essential. What Success Looks Like A successful Office Assistant will become the first point of contact for routine matters and will reduce unnecessary interruptions for attorneys and senior staff. Calls are answered and routed appropriately. Appointments are accurately scheduled. Documents are uploaded to the correct matters and can be easily located. Client messages do not get lost. Routine administrative follow-up happens without repeated reminders. The ideal person will gradually learn how the office operates and become someone the rest of the team can rely upon to keep routine administrative matters moving. Compensation and Benefits $18-$23 per hour , depending on experience. Full-time employment. Health-insurance benefits, subject to eligibility and applicable plan terms. Two weeks of paid vacation.
