JOB RESPONSIBILITIES
- Receives and screen visitors and telephone calls in a polite manner, providing information which may require the use of judgment and interpretation of policies and procedures.
- Provide administrative support to the Law, Human Resources and Economic Development Departments.
- Research, compiles, and summarizes a variety of informational materials; opens mail and either personally manages or routes for handling to appropriate staff.
- Prepare, proofread correspondence, marketing materials, grants, and other written content, edit and file legal documents, including city ordinances, contracts and submit to staff for review.
- Research regulations, laws, and legal articles to assist with the preparation of reports, files, verify documents and statistics as needed.
- Research economic trends, managing data, and writing grant applications to secure funding for projects.
- Manage, organize, and maintain documents in paper or electronic filing systems ensuring all documents are easily accessible.
- Manage accounts receivable and payable by preparing, finalizing, and paying bills, as well as resolving any billing issues.
- Maintaining the department's calendar ensures that the Director is aware of meeting times and individuals and making travel arrangements.
- Assist in document preparation, current demographics, census data, including organizing exhibits, witness lists, and binders.
- Manage department confidential court and personnel files and documents, including responding to inquiries and providing status updates.
- Maintain confidentiality and professionalism in all interactions.
- Proficient in legal terminology, court procedures, electronic and manual filing, and legal document formatting.
- Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
- Ensure public records and privacy policies are followed.
- Other duties as assigned.
QUALIFICATIONS
- High School diploma or general education degree (GED), and six (6) to twelve (12) months related experience and/or training.
- Paralegal Certification preferred.
- Must be eligible to work in the United States
- Ability to read, and interpret documents such as safety rules, operating and maintenance instructions, repair manuals.
Ability to author routine reports and correspondence. Ability to effectively speak read and understand English language.
