We are looking for a responsible and detail-oriented Administrative Legal Assistant to join our team. The Administrative Legal Assistant is the front-line of the office, and must have exceptional communication skills. The Administrative Legal Assistant must also possess a high level of organizational acumen in order to maintain a functional office environment and bridge the gap between (potential) clients and attorneys. An outstanding candidate will be a polished professional who creates an exceptional first impression while keeping operations running smoothly behind the scenes. If you thrive in a fast-paced environment and are passionate about the legal field, this position is perfect for you. Responsibilities Support client communication through professional phone etiquette, scheduling appointments, collecting prospective client information, and performing conflict of interest checks. Provide as-needed support to attorneys and paralegals for overflow work and large projects. Assist attorneys with case management tasks including filing, data entry, and maintaining electronic and physical files in compliance with firm policies. Assist in general office management duties such as supply tracking and ordering. Manage and organize client and legal documents using our document management systems. Prepare client documents and assist in signings. Qualifications At least two years of administrative experience. Minimum high school diploma or equivalent required; associate's or bachelor's degree preferred. Proficiency with case management systems like Practice Panther preferred. MS Office Suite experience is also a plus, specifically Word and Excel. Proficiency with standard office technology (computers, printers, copiers, scanners, multifunction machines) and an ability to troubleshoot basic software and office technology issues independently. Effective communication skills coupled with professional phone etiquette for interacting with clients and team members. Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment. Excellent writing skills for drafting legal correspondence; keen proofreading abilities to ensure accuracy. Demonstrated project management skills with attention to detail in document review and data entry tasks.
