Job Description

About the Position We are a growing immigration law practice looking for a highly organized, dependable, and motivated Bilingual Immigration Legal Assistant to join our team. The firm began as a solo practice and has experienced significant growth in client inquiries, consultations, and new matters. We are now looking for someone who can become an important part of the firm's day-to-day operations and grow professionally as the practice continues to expand. This is not strictly a receptionist position, nor is it limited to traditional paralegal work. The role combines client intake, administrative support, client relations, billing, case organization, and progressively more substantive immigration paralegal responsibilities. We are looking for someone who takes ownership of their work, follows through, communicates well with clients, and wants an opportunity to learn and develop within an immigration law practice. Primary Responsibilities Answer and return incoming telephone calls in English and Spanish. Serve as a professional and welcoming first point of contact for prospective and existing clients. Conduct preliminary client intake using established firm procedures. Schedule and confirm consultations and other appointments. Maintain accurate records of prospective clients, consultations, callbacks, and follow-up tasks. Follow up with prospective clients after consultations when appropriate. Send attorney-approved engagement agreements to prospective clients who wish to retain the firm. Follow up regarding unsigned engagement agreements and incomplete onboarding requirements. Assist new clients through the onboarding process. Communicate regularly with existing clients regarding appointments, documents, administrative matters, and case-related requests. Prepare and send invoices, receipts, payment reminders, and other billing communications. Assist with monitoring client accounts and outstanding balances. Request documents and information from clients and follow up on outstanding requests. Organize and maintain electronic client files and case records. Assist with immigration forms, supporting documents, exhibits, translations, and filing preparation as training and experience develop. Assist with electronic filings and case management before USCIS and EOIR. Maintain calendars, deadlines, task lists, and internal follow-up systems. Identify matters requiring attorney attention and promptly escalate them. Help develop and improve internal procedures, templates, checklists, and client communication systems. Maintain strict confidentiality regarding prospective and current clients. Technology & Platforms The firm currently uses technology including: Docketwise LawPay Invoice2go Adobe Acrobat Microsoft Outlook Google Docs Dropbox Experience with these platforms is helpful but not required. Experience with USCIS online systems and EOIR's ECAS system is strongly preferred. Candidates should be comfortable learning new technology and working in a primarily electronic and paperless environment. Required Qualifications Professional fluency in English and Spanish, both spoken and written. Strong telephone and interpersonal communication skills. Excellent organizational skills and attention to detail. Strong follow-through and ability to keep track of multiple pending matters. Professional and compassionate communication with clients. Ability to handle confidential and sensitive information appropriately. Ability to recognize when a question or issue must be referred to the attorney. Ability to work independently while following established procedures and attorney instructions. Strong computer skills and willingness to learn new systems. Ability to transition to hybrid or in-person work in Sugar Land, Texas. Experience Previous immigration law, legal assistant, paralegal, intake, or law-office experience is strongly preferred and will be given significant consideration. Experience with Docketwise, ECAS, USCIS online accounts, immigration forms, and electronic immigration filings is particularly valuable. However, experience is not the only factor we consider. We are also interested in candidates who may have less direct immigration experience but demonstrate the right attitude, strong judgment, reliability, attention to detail, initiative, and a genuine desire to learn. For the right candidate, we are willing to invest the time necessary to teach our systems and procedures. Can prioritize when several things require attention at the same time. Is comfortable working in a growing practice where responsibilities may evolve. Wants to become more knowledgeable about immigration law and develop professionally. Is looking for an opportunity to grow with the firm rather than simply perform a fixed set of tasks. Growth Opportunity This position is intended to grow with the employee. Initially, the primary focus will be client communication, intake, scheduling, engagement agreements, billing, onboarding, and administrative support. As the employee becomes familiar with the firm's procedures and demonstrates accuracy, reliability, and good judgment, responsibilities can expand into substantive immigration paralegal work, including preparation of immigration forms, organization of supporting evidence, USCIS filings, EOIR/ECAS filings, case preparation, and other legal support under attorney supervision. We are looking for someone interested in developing a long-term role within the practice and taking on greater responsibility as both the employee and the firm grow.
Pay:
$20.00 - $25.00 per hour
