$42,000 to $52,000, depending on experience DeFazio Law Firm, PLC is a Virginia family law firm seeking a full-time Legal Assistant. We are looking for someone who is exceptionally organized, detail-oriented, independently motivated, and comfortable taking ownership of the administrative details of a busy law practice. Legal experience is helpful, but it is not the most important qualification for this position. Family law, court procedures, and our firm's systems can be taught. We are much more interested in finding someone who naturally creates order, notices details others miss, and follows things through to completion. This is not a position where you will simply wait for assignments. You will be copied on much of the firm's correspondence and will be expected to recognize tasks, deadlines, promises, and follow-up items as they arise. If the attorney tells a client that he will call tomorrow, we want you to notice if tomorrow afternoon arrives and the call has not happened. If a client sends five of six requested documents, we want you to notice which one is missing and follow up. The right person will take satisfaction in making sure nothing falls through the cracks.
Responsibilities You will:
Monitor email communications and identify tasks, deadlines, commitments, and necessary follow-up. Maintain the attorney's calendar and track court dates, appointments, filing deadlines, discovery deadlines, and other time-sensitive matters. Maintain an organized system for pending tasks and follow-up items and make sure they are brought to completion. Communicate professionally with clients, courts, opposing counsel, and other professionals. Answer incoming telephone calls, take accurate and useful messages, appropriately route calls, and make sure calls requiring follow-up are not overlooked. Schedule client consultations, appointments, meetings, and other matters, and maintain the attorney's calendar accordingly. Prepare, format, proofread, file, and organize correspondence, pleadings, discovery, and other legal documents. Maintain accurate and exceptionally organized electronic client files. Obtain documents and information from clients and follow up when requested materials are incomplete. Help prepare files and materials for hearings, meetings, depositions, and other proceedings. Learn the firm's practice-management, document-management, and other technology systems. Handle administrative matters independently when attorney involvement is unnecessary. Identify potential problems and bring them to the attorney's attention before they become urgent. Protect confidential information and exercise good judgment when dealing with sensitive personal and financial matters. Initiative and the ability to work without constant supervision. Good judgment about what can be handled independently and what requires the attorney's attention. Strong written communication, grammar, spelling, and proofreading skills. Professional and compassionate communication with clients who may be experiencing difficult circumstances. Comfort managing numerous unrelated tasks and deadlines simultaneously. Reliability, discretion, and a strong sense of personal responsibility for the quality of your work. Prior experience as a legal assistant, executive assistant, project coordinator, litigation assistant, or in another position requiring substantial independent organization and responsibility is helpful. Prior family-law experience is welcome but not required. You may be a particularly good fit if unfinished tasks bother you, you keep lists without being told to keep lists, you notice when something does not match, and you are the person other people rely upon to remember what everyone said they were going to do. Compensation and Benefits Salary is expected to be $42,000 to $55,000 per year , depending upon experience and qualifications. Paid time off, health insurance, and retirement benefits are included.
