Legal Assistant (Estate Planning & Administration)

Full-Time Preferred About the Role We are seeking a reliable, detail-oriented, and client-focused Legal Assistant to join our busy estate planning and attorney office. This is a vital front-line role designed to keep our office running smoothly, ensure our clients feel welcomed and supported from their very first interaction, and provide critical administrative backing to our legal team. This position is intentionally structured to reward experience, loyalty, and longevity within the firm, and is designed to empower self-starters who take initiative and excel in a fast-paced environment.
Primary Responsibilities Client Relations & Intake:
Warmly greet clients in person and over the phone, manage incoming calls, and assist with gathering and organizing new client intake forms.
Scheduling & Calendar Management:
Maintain and coordinate attorneys' calendars, schedule client consultations, meetings, and follow-up appointments.
Administrative Support:
Prepare, organize, and manage physical and electronic client files, correspondence, and office documents.
Office Coordination:
Ensure reception and common areas are professional, tidy, and welcoming, while handling general office correspondence and supplies.
Additional Support:
Assist attorneys and staff with document preparation, mailing, and other routine administrative tasks as needed.
Qualifications & Ideal Skills Experience:
Previous administrative, customer service, or legal office experience is preferred, though a strong professional demeanor and willingness to learn are highly valued.
Self-Starter Mentality:
Ability to work independently, anticipate office needs, and proactively manage tasks with minimal supervision.
Communication Skills:
Exceptional verbal and written communication skills with a friendly, empathetic, and professional phone/in-person presence.
Organization & Discretion:
Highly organized with meticulous attention to detail and a strict understanding of client confidentiality and professional ethics.
Technical Proficiency:
Comfortable using computers and office software. Familiarity with CRM systems (or the ability to quickly learn and adapt to them) is required, with experience using platforms such as WealthCounsel, Lawcus, DecisionVault, or Acuity Scheduling a strong plus.
Compensation & Growth Opportunities Starting Pay:
$15.00 - $18.00/hour (commensurate with experience).
Benefits Note:

Performance Reviews & Wage Growth:
Structured 3-month review followed by annual evaluations, with clear opportunities for hourly wage increases as you master the role and grow with the firm.
Pay:
$15.00 - $18.00 per hour Expected hours: 30.0 - 40.0 per week
