We are seeking a dependable, organized, and professional Legal Assistant/Receptionist to join our small law office in Baraboo. This position is often the first point of contact for our clients and prospective clients. We are looking for someone who communicates professionally, has strong organizational skills, pays attention to detail, and is comfortable managing a variety of responsibilities throughout the day. The ideal candidate does not need to have extensive legal experience. We are willing to train the right person who has strong administrative skills, good judgment, a willingness to learn, and a genuine interest in becoming an important part of our office. Responsibilities Answering incoming telephone calls and greeting clients and visitors; Communicating professionally with clients, prospective clients, attorneys, court staff, and other professionals by telephone and email; Scheduling client appointments, court hearings, and other calendar matters; Maintaining attorney calendars and assisting with deadline management; Opening, organizing, maintaining, and closing client files; Preparing correspondence and routine legal documents; Formatting, proofreading, scanning, filing, and electronically organizing documents; Assisting with electronic court filing and obtaining documents from court records; Processing incoming and outgoing mail and email; Obtaining information and documents from clients and following up on outstanding items; Assisting with client intake and new-client onboarding; Assisting with billing, payments, and other routine administrative matters; Maintaining confidentiality of client and firm information; Keeping the office organized and helping ensure that tasks and follow-ups do not fall through the cracks; and Providing general administrative support to attorneys and other staff as needed. Preferred Qualifications Prior administrative assistant, receptionist, or professional office experience; Prior legal assistant, legal secretary, or law-office experience; Experience working with confidential or sensitive information; Experience with document preparation, electronic filing, scheduling, or client/customer service; and Familiarity with Microsoft Office and cloud-based office software such as Clio. Prior family-law experience is helpful but not required.
