Job Title:
Medical Assistant, Occupational Health Reports to: Sr.
Manager of Clinical Operations Status:
Full-Time, Non-Exempt Medical Assistant (MA) is responsible for supporting the Lead Nurse and/or Paramedic, and entire clinical team, in the care of patients of all ages from neonatal through geriatric in the clinic. The MA's primary purpose is to monitor patient flow to ensure maximum efficiency while providing fast, friendly, quality patient care. The MA must establish and maintain good rapport and effective working relationships with patients, visitors, and Duke City Cares employees. The MA performs skills such as wound care and splint application and assists with additional procedures to support the clinical team. The MA is also responsible for maintaining safe, clean, and well-stocked patient care and clinical areas while assuring adherence to applicable policies and procedures.
Job Responsibilities:
Assist the Clinical Supervisor and other support staff in the management and observation of all patients in the clinic Assist the Clinical Supervisor and Clinic Manager in obtaining Work Comp Claim Numbers, Adjuster contact information, and work with Insurance Adjusters to obtain authorizations for Diagnostic and Specialist Referrals. Clean patient care rooms, equipment and instruments; report equipment problems; order and store supplies; maintain appropriate PAR levels Assist the Clinical Supervisor and providers with complex treatment procedures; perform routine treatment procedures as allowed based on policies and procedures Identify and assess patients presenting with clinical symptoms requiring additional intervention and promptly notify a Clinical Supervisor and/or provider Report physical exam results to employers, TPA's, etc. Perform Urine Drug Testing following DOT Guidelines, Perform Breath Alcohol Testing following DOT Guidelines, Perform Hair Follicle Drug Testing following local and state guidelines. Perform Audiograms, EKGs, Pulmonary Function Testing, Respirator Fit Testing, Blood, and urine lab collections as requested by the attending provider. Perform basic procedures, including ear lavage, eye irrigation, suture, and staple removal Administer injections such as MMR, Varicella, Tdap, Hepatitis A, Hepatitis B, and
COVID-19
Administer PPD TB Skin test and perform TB reading Dispense Medications from the in-house pharmacy under the direct supervision of the attending provider Properly fit and coach patients for crutches, canes, support braces, and other DME equipment. Provide direct clinical services to patients, including screening and identification, rehabilitation, and counseling services as directed by the attending provider Complete wound care process according to medical protocol under the direct supervision of the attending provider Follow patient safety-related policies, procedures, and protocols Demonstrate a proactive approach to patient and staff safety by seeking opportunities to improve safety through questioning current policies and processes Transport patients, collect, label, and transport specimens, equipment, and supplies Identify and report/correct environmental conditions and/or situations that may put a patient at undue risk Assist with the provision of administrative support regarding equipment maintenance, calibration, and statistical data compilation
Additional Responsibilities:
Collaborate with Practice Medical Director, Practice Manager, and Practice Supervisor to create and implement new Policies and Procedures following Federal and local guidelines Directs inquiries about new business to the Practice Manager. Lead MA will obtain Employer demographics, Designated Employer Representative Information, and the types of service components. Assigns duties and responsibilities for back-office staff to maximize patient flow. Train new hires and coach back-office staff as needed Responsible for maintenance of all medical equipment and medical devices, ensuring performance of daily, weekly, and monthly QC/QA activities Responsible for maintenance and reporting of employer results using the Duke City Occupational Healthcare Employer Portal, LHI Portal, Monday.com Portal, DOT National Registry Portal, and eScreen Portal Collaborate with Practice Manager and Practice Supervisor to obtain authorization from Work Comp Insurance adjusters for diagnostics, specialists, physical therapy referrals, and scheduling of patients to approved outside offices Collaboration with the Practice Manager on daily charge entry and monthly invoicing Ensures the medical facility maintains appropriate stocking of supplies, equipment, medications, and safe and proper patient treatment. Cross-trained to perform Front Office duties, including registration, check-out, obtaining authorization, and answering phones Attends clinic staff meetings as required and holds daily staff huddles Additional Requirements - Onsite Occupational Health Services •Employees in this position may be assigned to provide occupational health services at employer worksites and other client-designated off-site locations. These assignments require independent judgment, professionalism, and the ability to represent Duke City Occupational Healthcare while delivering high-quality clinical services outside of the clinic setting. •Responsibilities include, but are not limited to: Provide clinical support to the attending provider while performing occupational health services at employer worksites and other designated off-site locations. Perform all Medical Assistant duties outlined in this job description while working independently at onsite client locations. Conduct urine drug screen collections, oral fluid (saliva) drug testing, and breath alcohol testing in accordance with company policies, client requirements, and applicable federal and state regulations. Ensure proper specimen collection, chain of custody documentation, specimen handling, and secure transportation in accordance with DOT and non-DOT testing procedures. Maintain compliance with all applicable U.S. Department of Transportation regulations, including 49 CFR Part 40, and all company policies governing workplace substance abuse testing. Be available for scheduled after-hours, weekend, holiday, and emergency substance abuse testing services as required by client contracts and operational needs. These services may occur outside the clinic's normal business hours, Monday through Friday, 8:00 a.m. to 5:00 p.m., including weekends. Travel to employer worksites throughout the service area as assigned. Maintain reliable personal transportation and a valid driver's license with proof of current automobile insurance, when required for travel. Demonstrate the ability to work independently with limited supervision while maintaining exceptional customer service and professionalism. Properly transport, maintain, and safeguard company-owned medical equipment, testing supplies, and confidential patient information while working at off-site locations. Effectively communicate with client representatives, Designated Employer Representatives (DERs), supervisors, and healthcare providers to ensure accurate and timely delivery of occupational health services. Maintain all required certifications necessary to perform DOT and non-DOT drug and alcohol testing and complete ongoing competency training as required.
Education, Experience, and Licensing Requirements:
High School graduate or GED equivalent Graduate of an accredited Medical Assistant school Must obtain additional qualifications during employment: Certified Urine Drug Screen Collector from Intoximeter Certified Breath Alcohol Technician from Intoximeter Certified Hair Collector from Psychemedics Certified DOT Medical Examiner Assistant from FMCSA Certified FAA Medical Examiner Assistant from Aerospace Medicine Division Complete clearance from QTC to include a background check and fingerprinting CAOHC Certification from the Council for Accreditation in Occupational Hearing Conservation NIOSH Certification from
