Legal Secretary Chautauqua County District Attorney's Office - Mayville, NY Full-Time | 40 Hours/Week | Excellent Benefits The Chautauqua County District Attorney's Office is seeking qualified applicants for a full-time Legal Secretary position in the Mayville, NY office. This is an excellent opportunity for a highly organized, detail-oriented professional interested in supporting the legal operations of a busy government law office. The Legal Secretary performs advanced clerical and administrative work requiring knowledge of legal terminology, court procedures, and the preparation of legal documents related to criminal and civil matters. Under the general supervision of an attorney, the successful candidate will handle a variety of responsibilities with a significant degree of independence while ensuring accuracy, confidentiality, and professionalism in all aspects of the work. This position is being filled on a provisional basis from approved applications received. The selected candidate will be required to take a future competitive Civil Service examination for permanent appointment. Key Responsibilities Prepare legal correspondence, motions, affidavits, briefs, memoranda, indictments, orders, contracts, real estate transfer forms, and other legal documents Create and maintain case files using automated case management software Update case files following court appearances Prepare and transfer preliminary hearing case information to attorneys Research case histories and compile information for attorney review Record and compile statistical data for federal, state, and internal reporting requirements Maintain office records, including activity logs, time and attendance records, and expense claims Proofread legal documents for accuracy, completeness, formatting, grammar, spelling, and punctuation Answer multi-line telephones and respond professionally to inquiries from attorneys, court personnel, and the public regarding court matters Coordinate with courts, agencies, and arbitrators to obtain information and schedule hearings and trial dates Process incoming mail, court filings, and legal documents, including copying, sorting, date stamping, and distribution Operate office equipment including scanners, copiers, fax machines, and transcription equipment May supervise or prioritize work for lower-level clerical staff Perform related duties as assigned Minimum Qualifications Candidates must meet one of the following qualifications:
Option A:
Bachelor's Degree from a regionally accredited or New York State registered college or university in:Legal Studies Paralegal Paralegal Studies Political Science Criminal Justice OR Option B:
Associate's Degree in one of the above fields OR an equivalent Certificate of Completion in Paralegal or Paralegal Studies AND one (1) year of paid work experience providing clerical support in the preparation of legal documents and related legal procedures in a law office or legal settingOR Option C:
High school diploma or equivalent AND three (3) years of paid work experience providing clerical support in the preparation of legal documents and related legal procedures in a law office or legal setting Preferred Skills Ideal candidates will demonstrate: Strong knowledge of legal terminology and legal document preparation Familiarity with court procedures and legal filing processes Excellent organizational and time management skills Strong written communication and proofreading abilities Ability to maintain confidentiality and handle sensitive information Proficiency with office software and case management systems Ability to manage multiple priorities in a fast-paced environment Professional communication skills when interacting with attorneys, courts, and the publicPay:
