Job Description
Logistics' Office Lead Job Description The Logistics Office Lead is responsible for overseeing and optimizing all administrative and operational functions within the logistics office to ensure accurate, efficient, and timely order processing. This role leads daily office activities supporting high-volume distribution, with direct accountability for meeting the company's 24-hour order fulfillment target. The position serves as the central coordination point between Sales, warehouse operations, carriers, and internal systems, ensuring seamless execution from order entry through shipment dispatch. The Logistics Office Lead establishes and enforces standard operating procedures, maintains data integrity across multiple shipping platforms, and ensures all shipping documentation—including bills of lading and, when applicable, customs documentation—is accurate and compliant. This role requires strong leadership, as it involves supervising office staff, delegating tasks, monitoring performance, and driving continuous process improvements to increase efficiency and reduce errors. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced logistics environment while maintaining clear communication across departments.
Key Responsibilities:
- Own daily logistics office operations to ensure all orders are allocated, processed, released to the warehouse, and closed within the 24-hour shipping target set by leadership
- Supervise and lead office staff, including task delegation, workload balancing, performance monitoring, and real-time issue resolution
- Drive order processing accuracy and efficiency across all systems, including order allocation, shipment entry, and platform execution
- Oversee shipping documentation, ensuring bills of lading, shipping labels, and customs documentation are accurate, complete, and compliant
- Coordinate outbound shipments with carriers, shipping terminals, and warehouse teams to ensure timely pickups and dispatch
- Track and manage shipment status, proactively identifying delays and communicating updates to Sales and internal stakeholders
- Establish and enforce standard operating procedures (SOPs) for order processing, documentation, communication, and reporting
- Continuously improve processes by analyzing workflows, identifying inefficiencies, and implementing corrective actions to increase throughput and reduce errors
- Maintain data integrity and documentation control, including shipment records, filing systems, and audit-ready documentation practices
- Act as the primary point of contact for Sales team support, ensuring timely response to order changes, escalations, and customer-related requests
- Prepare and deliver operational reports on order volume, processing times, shipment performance, and team productivity
- Coordinate with IT and systems support to resolve platform issues, maintain equipment functionality, and improve system usage
- Train, onboard, and coach team members, ensuring adherence to procedures, performance expectations, and company standards
- Support performance management by providing feedback, documenting performance issues, and coordinating disciplinary actions with management when necessary
- Manage office resources and supplies, ensuring uninterrupted operations and cost control
- Ensure compliance with safety standards and maintain a clean, organized, and professional work environment
Requirements:
- 3+ years of experience in logistics, transportation, distribution, or office operations (high-volume environment preferred)
- Proven experience supervising or leading teams, including task delegation, performance monitoring, and coaching
- Strong understanding of order processing workflows, including allocation, shipment entry, documentation, and closure
- Experience with shipping systems and platforms (TMS, ERP, or multi-carrier shipping software preferred)
- Working knowledge of shipping documentation, including Bills of Lading (BOLs), shipping labels, and basic freight requirements (LTL/FTL, parcel)
- Ability to manage multiple priorities in a fast-paced environment while consistently meeting deadlines (24-hour fulfillment target)
- High attention to detail and accuracy, especially in data entry, order processing, and documentation
- Strong problem-solving skills, with the ability to identify issues quickly and implement effective solutions
- Excellent communication skills, with the ability to coordinate across Sales, warehouse teams, and external carriers
- Proficiency in Microsoft Office (Excel, Outlook, Word); ability to learn and navigate multiple systems efficiently
- Strong organizational and time management skills, with the ability to prioritize workload and optimize team productivity
- Demonstrated ability to improve processes, implement SOPs, and drive operational efficiency
