Job Description

About the Position We are a busy automotive repair and ADAS calibration facility looking for an organized, dependable, and customer-focused Automotive Service & Operations Coordinator to join our team. This position plays a key role in the daily operation of our facility. You will work directly with our Shop Manager to keep customers informed, manage scheduling and administrative responsibilities, handle billing and invoicing, and help ensure vehicles move efficiently through the repair and calibration process. This is more than a receptionist position. We are looking for someone who understands how an automotive service business operates, can take ownership of the front office, and can help oversee daily operations when the Shop Manager or Owner is unavailable. Key Responsibilities Customer Service & Communication Answer incoming phone calls and respond to customer inquiries Schedule repair, diagnostic, and ADAS calibration appointments Check customers and vehicles in and out Provide customers with timely repair and calibration status updates Communicate delays, additional repairs, approvals, and completion times Follow up with customers regarding estimates and declined services Maintain professional relationships with retail, body shop, fleet, and commercial customers Help resolve routine customer concerns and escalate major issues when necessary Billing & Administration Prepare and process customer invoices Maintain accurate repair orders and customer records Collect and process payments Assist with accounts receivable and outstanding invoice follow-up Handle billing documentation for commercial, fleet, insurance, and body shop accounts Maintain organized electronic and physical records Ensure completed work is properly documented and ready for billing Shop Operations Work closely with the Shop Manager to track vehicles throughout the repair and ADAS calibration process Help coordinate scheduling between mechanical repair, diagnostics, alignment, programming, and ADAS calibration Monitor appointment schedules and vehicle completion status Communicate customer approvals and scheduling changes to the Shop Manager and technicians Help ensure completed vehicles are properly documented, invoiced, and ready for customer pickup Identify administrative or scheduling issues that could delay vehicle completion
Qualifications Preferred:
2+ years of automotive service, dealership, collision center, repair shop, or similar experience Experience with automotive repair orders, invoicing, or service writing Strong customer-service and telephone skills Experience with scheduling and managing multiple customer appointments Comfortable working with automotive technicians and service managers Experience with fleet, insurance, or commercial accounts is a plus ADAS/calibration experience is a plus but not required What We're Looking For The right person for this position is: Highly organized Dependable and punctual Comfortable working in a fast-paced automotive environment Excellent with customers Able to multitask without losing track of details Confident communicating with technicians and management Comfortable handling billing and money Able to work independently Able to prioritize urgent situations Willing to take ownership instead of waiting to be told what to do Interested in growing into greater operational responsibility Position Structure This position reports to the Shop Manager and Owner. The Shop Manager is responsible for technician management, production, repair decisions, and overall shop workflow. The Automotive Service & Operations Coordinator is responsible for customer communication, scheduling, billing, documentation, and front-office operations while supporting the Shop Manager.
The goal is simple:
the Shop Manager keeps the work moving through the shop, while the Service & Operations Coordinator keeps the customers, scheduling, billing, and administrative side moving. Compensation $23-$27 per hour, depending on automotive experience and qualifications. Candidates with significant automotive service advisor, shop administration, billing, or management experience may be considered at a higher rate.
Pay:
$23.00 - $27.00 per hour Expected hours: 40.0 per week
