We are seeking our next General Services Specialist who will be all-in on our mission and who will be responsible for providing specialized program, student, and operational support for the Truck Driving Academy and serves as a key liaison for students, faculty, staff, vendors, stakeholders, and the community. This position advises prospective and incoming students regarding Truck Driving program requirements, enrollment, and course options; coordinates student registration and orientation; and supports daily program operations and additional campus locations.

EXPERIENCE
Required:
Two (2) years of experience in an administrative, student services, program support, or related environment.
Preferred:
Four (4) years of experience in higher education, student services, program support, or the public sector. Serves as the primary point of contact for students, staff, faculty, vendors, stakeholders, and the community, providing professional, courteous, and solutions-oriented service. Provides support college-wide and directly assists the Truck Driving Coordinator with daily operations, scheduling, and program logistics. Advises prospective and incoming students regarding Truck Driving program requirements, enrollment steps, and course options; processes student registrations; plans and conducts program orientation sessions; and provides guidance and support to additional campus locations that report to the Truck Driving program. Operates and maintains proficiency in multiple enterprise and departmental platforms, including Etrieve, Colleague, Symmetry AMAG, WEX, and JPMorgan Chase, ensuring accurate and timely processing across systems. Inputs data and generates and analyzes reports using advanced word processing, spreadsheets, the work order system, and Colleague to support departmental operations, decision-making, and reporting requirements. Composes, edits, and distributes complex departmental correspondence and establishes and maintains organized physical and electronic filing systems to ensure efficient retrieval and compliance with records-retention requirements. Performs departmental credit card reconciliations, prepares monthly financial reports, verifies transactions for accuracy and policy compliance, and identifies discrepancies for resolution. Assists with annual budget preparation and monitors, tracks, and reports departmental expenditures to support fiscal accountability and adherence to approved spending plans. Reviews incoming mail, reports, requisitions, and invoices; determines priority and appropriate routing; and distributes information and actionable instructions to appropriate personnel. Interprets and communicates college policies and procedures to internal and external stakeholders and exercises delegated authority to make departmental decisions in the absence of the Program Coordinator. Manages sensitive security and access-control functions, including researching and processing employee security clearances for keys and building access-card requests. Maintains accurate employee access records, monitors physical key inventory, and updates records in Colleague and departmental spreadsheets in accordance with campus security protocols. Coordinates day-to-day office operations, maintains appropriate inventory levels, and procures office supplies in a cost-effective manner. Perform other work-related duties as required. Salary:
Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position. Pay grade 9 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).
Physical Demands :
While performing the duties of this job, the employee is frequently required to travel between offices and buildings and must have the ability to lift, carry, push, pull, and/or move office supplies up to twenty-five (25) pounds as needed.
Working Conditions :
Must be willing to work a flexible schedule, including days, nights, weekends, holidays, and varying events as necessary.
Work Environment:
This position operates primarily in a professional office environment and routinely uses standard office equipment, including computers, phones, copiers, fax machines, and filing systems. The position works in a high-traffic environment with frequent interruptions and regularly utilizes Microsoft Office, Colleague, and various departmental applications. Work may also be performed outside of the office and with limited supervision.
