Head of Grounds & Facilities Position Overview The Grounds & Facilities Administrator is a dynamic administrative and hands-on support position responsible for helping coordinate the daily operations of the Grounds & Facilities department while also assisting with property maintenance, event preparation, and grounds work as needed. This position serves as an important line of communication between the Head of Grounds & Facilities and other departments and must be fluent in both English and Spanish. The ideal candidate is highly organized, dependable, proactive, and comfortable transitioning between administrative responsibilities and physical work throughout the property. Administrative Duties Organize and maintain the Grounds & Facilities calendar, including business operations that impact grounds and maintenance scheduling. Ensure that venue booking and event days, lodging stays, restaurant operations, photoshoots, property events, and other on-property bookings are properly communicated with the head of grounds and facilities. Maintain grounds and facilities maintenance schedules on calendar, including routine, recurring, and seasonal maintenance tasks. Coordinate maintenance schedules with head of grounds around events, restaurant operations, lodging stays, and other guest-facing activities. Keep calendars accurate and updated as property operations and priorities change. Attend weekly staff meetings and take clear, organized notes regarding upcoming operations, events, projects, and departmental needs. Communicate relevant meeting notes, updates, and action items to the Head of Grounds & Facilities. Provide English/Spanish translation support as needed. Serve as a line of communication between the Head of Grounds & Facilities and other department heads, helping ensure requests, priorities, schedules, and operational information are clearly communicated. Assist with additional departmental organization, scheduling, and administrative tasks as assigned. Grounds & Facilities Support Duties Perform grounds, facilities, cleaning, and general property maintenance tasks as assigned by the Head of Grounds & Facilities or other department heads. Responsibilities may include, but are not limited to: Landscaping, weeding, and general grounds maintenance Spraying and cleaning patios and outdoor areas Cleaning up after peacocks, ducks, and other property animals Pond cleaning and maintenance Spot cleaning windows and glass Blowing and cleaning walkways, patios, and outdoor guest areas Snow and ice removal Cleaning and maintaining event spaces Basic plumbing tasks, including clearing minor clogs Changing light bulbs and completing other basic facility maintenance Assisting with seasonal property maintenance and cleanup Responding to property maintenance needs as assigned Supporting other Grounds & Facilities projects and tasks as needed Event-Day Support Assist with preparing the property and event spaces to be event-ready. Complete all applicable event-day Grounds & Facilities checklist items. Ensure outdoor spaces, walkways, patios, entrances, and event areas are clean, presentable, and prepared for guest arrival. Complete additional event-day assignments at the direction of the Events team. Respond to last-minute property or facilities needs that may arise prior to or during event setup. Requirements Must be fluent in both English and Spanish. Must be highly organized with strong attention to detail and follow-through. Proficient in calendar management; experience with Microsoft Outlook is preferred. Comfortable learning and using scheduling, communication, and other business software. Strong verbal and written communication skills. Ability to effectively communicate information between team members and department heads. Ability to prioritize multiple responsibilities in a fast-paced hospitality environment. Willing and able to perform both administrative and hands-on grounds and facilities work. Ability to lift and carry up to 50 pounds. Ability to work extended periods outdoors in heat, cold, rain, snow, and other weather conditions. Ability to stand, walk, bend, lift, and perform physical maintenance tasks throughout the workday. Must have reliable transportation and live within close proximity to La Caille in order to meet on-call response requirements. Schedule & On-Call Requirements The regular schedule for this position is Tuesday through Saturday, 8:00 AM-4:00 PM . This position will participate in an on-call rotation one day per week for emergencies and snow removal needs outside of regularly scheduled hours. Respond to emergency communications within 15 minutes; report to the property promptly when an on-site response is required; all time spent responding to calls and performing work is recorded and paid. On-call responsibilities are intended for urgent property needs, emergencies, and weather-related response rather than routine maintenance requests. Ideal Candidate The ideal Grounds & Facilities Administrator is someone who is exceptionally organized but also enjoys hands-on work. This person is comfortable managing calendars and communicating between departments in one part of the day and assisting with grounds maintenance, property cleanup, or event preparation in another. They take pride in keeping the property organized, maintained, and guest-ready and understand that priorities can change quickly in a hospitality and events environment.
Pay:
$22.00 - $26.00 per hour Expected hours: 40.0 per week
