Job Description

Overview We are seeking a resourceful, hands-on Commercial Facilities & Maintenance Manager to support the physical condition and daily operations of our commercial real estate portfolio. This field-based position works closely with property management, ownership, tenants, and service providers to investigate building issues, oversee vendors, conduct inspections, coordinate preventive maintenance, and manage assigned repairs, tenant improvements, and capital projects. Duties Building Maintenance and Inspections Investigate maintenance issues, assess urgency, determine next steps, and coordinate repairs through completion. Conduct scheduled inspections of properties and vacant spaces; identify deficiencies and document conditions with photographs, priorities, and recommended actions. Perform basic troubleshooting and minor repairs when appropriate, safe, and within personal qualifications; engage qualified contractors for specialized work. Inspect completed repairs and service work to confirm the reported issue has been resolved, and the work meets the approved scope and expected standards. Vendor Oversight Prepare clear scopes of work, obtain and compare proposals, and question recommendations that appear unnecessary, incomplete, or unsupported. Coordinate vendor scheduling, access, and work with property management to minimize tenant disruption. Monitor vendor performance, follow up on deficiencies, and develop strong working relationships with contractors and service providers. Review invoices against approved proposals and completed work; flag discrepancies for property management. Preventative Maintenance and Emergency Response Coordinate scheduled preventative maintenance and inspections with vendors and property management; follow up on service findings and identify developing repair or replacement needs. Respond to urgent building issues including after-hours emergencies, assess conditions, coordinate appropriate vendors, and document follow-up actions. Tenant Improvements and Facility Projects Coordinate assigned tenant improvements, repairs, and capital projects. Coordinate project scopes, contractor proposals, scheduling, and site access with property management. Conduct site visits to monitor progress and workmanship against the approved scope; identify concerns early and recommend next steps. Track the status of assigned project schedules, costs, proposed changes, and required permits; obtain approvals before authorizing changes or additional work. Coordinate punch lists and collect applicable warranties, as-built plans, and closeout documents for property management records. Coordination and Accountability Work with property management and leadership to prioritize urgent issues, recurring maintenance, and assigned projects; communicate workload conflicts before commitments are missed. Provide concise updates covering the issue, actions taken, recommended solution, anticipated cost and timing, and any decision needed. Maintain current work-order notes, photographs, and completion status; provide service reports and project records to the property management team. Coordinate directly with tenants on access and field conditions while keeping property management informed. Property management retains responsibility for lease matters, formal tenant notices, owner approvals, and overall property budgets. Focus on field execution and vendor performance. Coordinate with property management and administrative staff on centralized records, vendor insurance tracking, contract administration, and invoice processing. Operate within delegated spending authority and escalate decisions requiring additional approval with a recommendation. Conduct scheduled inspections of properties and vacant spaces; identify deficiencies and document conditions with photographs, priorities, and recommended actions. Required Qualifications At least 3 years of experience in commercial building maintenance, facilities management, building engineering, construction, or a closely related field. Experience inspecting commercial properties & buildings, performing minor maintenance and troubleshooting , and recognizing when licensed contractors are required. Experience coordinating and overseeing outside vendors, contractors, and/or service technicians. Experience obtaining and comparing proposals, defining scopes of work, scheduling work, and verifying completion. General working knowledge of commercial HVAC, plumbing, electrical, roofing, lighting, doors/locks, and general building systems. Ability to read and understand basic construction drawings, floor plans, specifications, and equipment schedules. Ability to prioritize and manage multiple maintenance, repair, inspection, and vendor-related tasks and follow through to completion. Strong verbal communication skills. Proficiency with Outlook and basic Excel spreadsheets to communicate and track work Ability to use a smartphone to photograph property conditions and email clear inspection findings, recommended actions, and follow-up items. Valid California driver's license and reliable transportation for travel between properties. Ability to safely perform the physical requirements of the position, including regular walking throughout commercial properties, accessing building and mechanical areas, climbing ladders as needed, and occasionally lifting or carrying materials weighing up to approximately 35 pounds. Preferred Qualifications 5+ years of commercial facilities or building operations experience. Familiarity with building automation systems (BAS/BMS), HVAC controls, fire/life-safety systems, access control, and other commercial building systems. Experience managing capital improvement or tenant improvement projects. Experience reviewing invoices and tracking project or maintenance budgets. Experience with preventative maintenance programs and equipment lifecycle planning. Familiarity with OSHA requirements and general workplace/building safety practices. Relevant trade, facilities, or building-operations certifications are a plus. Experience responding to building emergencies and coordinating appropriate vendors or contractors is a plus. Pay:
$80,000.00 - $115,000.00 per year
