Job Description

SUMMARY This position is responsible for managing and processing all eyeglass orders entered by clinic staff to ensure accuracy in lens ordering. This position provides technical support to Mobile Vision Care's staff relating to lab processing and resolving operating and Manufacturing issues. This position is responsible for placing orders to third party vendors for purchases of lenses used for manufacturing eyeglasses for patients. This position supports daily lab operations and manages and maintains eyeglasses frame and lens inventory. This position is also responsible for tracking and ordering lens/frame inventory for practice.
MAJOR DUTIES AND RESPONSIBILITIES
(ESSENTIAL
JOB FUNCTIONS
) 1. Verify patient eyeglass eligibility and benefits. 2. Document eyeglass eligibility accurately in the practice management system. 3. Review referrals and authorizations. 4. Be able to Communicate patient's financial responsibility. 5. Documents lenses ordered in practice management system. 6. Maintains detailed information from manufacturers, including lens detail, patients' profiles of cost, date, and invoice numbers, and interaction of eyeglass job status. Assist with eyeglass order documentation. 7. Key for maintaining accurate patient records, including documenting all pertinent historical information, medication history, pre-examination findings, post examination follow-up guidelines, spectacle ordering, clear and precise communication with office staff, etc. 8. Have and maintain reliable transportation to meet the determined work schedule in a reliable and punctual manner, which includes coordinating and communicating with the office manager. 9. Welcome and train new employees in a competent and thorough manner to ensure cross training and succession planning is in place for business continuity. 10. Professionally interact with clinic staff and external partners. 11. Responsible for maintaining frame inventory. 12. Maintain inventory for any donated frames received and frames used. 13. Read and interpret optical prescriptions from Providers or external Optometrists. 14. Select correct lens blanks, materials, and coatings based on the patient's prescription. 15. Set up and operate lab machines (edgers, blockers, grinders, polishers) to cut, bevel, and shape lenses. 16. Inspect finished lenses for surface flaws, correct curvature, thickness, and coating quality. 17. Measure and verify lenses meet prescription specs using precision instruments (lensometers, etc.) 18. Re-work or reject lenses that don't meet standards. 19. Mount/edge lenses into frames (metal, plastic, or rimless) 20. Make minor adjustments and repairs to finished eyewear. 21. Occasionally be responsible for packaging finished eyewear for pickup or shipping. 22. Keep the workstation and office clean and organized. 23. Follow safety, infection control, and quality assurance protocols. 24. Track and order lens/frame inventory and lab supplies. 25. Process eyewear orders through insurance-affiliated or outside labs. 26. Maintain accurate records of work performed. 27. Communicate with Providers, Patients, and all external partners on order status or issues. 28. Assist clients with frame selection. 29. Explain lens options and coatings. 30. Handle basic billing or eyeglass order entry tasks. 31. Areas of responsibility may at times be expanded to cover other functions based on business need. 32. Performs other duties as assigned.

The selected candidate will provide exceptional service to the Providers, coworkers, patients, and internal and external business partners, always representing the practice in a professional manner. The selected candidate will have a thorough understanding of the products and services and be aligned with the company's mission, vision, and core values. Furthermore, the selected candidate will have a strategic mindset, track record of success, and excellent communication skills. Friendly demeanor and professional appearance required at all times. Reliable transportation is also required.
EDUCATION AND WORK EXPERIENCE
  • High School diploma or GED certificate
  • Prior experience in an Optical environment
  • Familiar and conversant with technology, demonstrating knowledge and ability to navigate software relating to core systems including robust and complicated electronic health records software.
  • Must be proficient in Microsoft Office products, including but not limited to Word, Excel, Email and Outlook.
  • Prior Experience in a retail optical department or a similar environment, preferred.
  • Knowledge of optics and the optical lab preferred.
  • Prior experience with inventory control.
  • Basic knowledge of Medicare & Medicaid
