Position Overview The Manager of Collections Scheduling leads the development, execution, and continuous improvement of all collections staffing schedules across mobile and fixed site operations. This role oversees Collections Staff Schedulers and is accountable for schedule accuracy, workforce efficiency, labor cost control, and alignment of staffing resources with production demand. The Manager ensures schedules support efficient blood drive execution, optimize productivity, minimize overtime, and meet operational requirements. This position also leads workforce planning initiatives and uses data-driven decision-making to improve scheduling performance and resource utilization. Essential Functions Owns the development, accuracy, and on-time release of all departmental staff schedules using HemaCollect Aligns schedules with production plans, staffing models, and operational priorities Leads short- and mid-range workforce planning to match staffing capacity with projected demand Establishes and maintains scheduling standards and consistent practices across all regions Reviews and approves schedules prior to release, ensuring appropriate staffing levels and balanced workloads Monitors overtime and implements adjustments to maintain targets Optimizes staff assignments to reduce travel time and non-productive hours Maintains schedule integrity after release, including timely updates and clear communication Assigns vehicles, drivers, and other required resources to blood drives Monitors attendance, PTO usage, and call-out trends and implements coverage strategies Leads real-time staffing decisions, including same-day adjustments and escalation handling Oversees on-call scheduling processes and escalation expectations Monitors blood drive efficiency using BDER and adjusts staffing approaches based on performance trends Identifies gaps in staffing models and drives improvements in flexibility and utilization Maintains accuracy of scheduling data within HemaCollect and related systems Develops reporting to track scheduling performance, utilization, and efficiency Leads process improvements related to scheduling and workforce planning Other duties as assigned or required
Leadership/Managerial Responsibilities:
Supervises Collections Staff Schedulers, including hiring, training, and performance management Exercises independent judgment in staffing allocation decisions impacting labor cost, service levels, and operational readiness. Establishes scheduling timelines and expectations for schedule development and release Implements consistent review processes prior to schedule release Standardizes decision-making practices across scheduling staff Conducts regular audits of schedule quality and staffing alignment Holds team accountable for schedule performance and operational outcomes Minimum Qualifications Bachelor's degree preferred or equivalent experience 3-5 years of experience in scheduling, workforce planning, or operations management Experience managing staffing across multiple locations or regions Prior supervisory experience preferred Strong understanding of staffing models and field operations Experience with HemaCollect or similar systems preferred Advanced Excel and data analysis skills Demonstrated ability to use data to drive decisions Strong organizational and problem-solving skills Ability to manage multiple priorities in a fast-paced environment Strong communication skills across all levels of the organization Physical Demands The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job.
