Construction By TIMCO is an established roofing and exterior-restoration contractor serving homeowners throughout the greater Joliet area. We manage roofing, siding, gutter, and insurance-restoration projects from inspection through final completion.
POSITION OVERVIEW
The Production Assistant owns day-to-day production coordination after a project is handed over by the Project Manager. This position also develops and maintains the company's JobNimbus workflows, converts paper-based processes into organized digital systems, and ensures JobNimbus serves as the company's primary operating location aside from project photographs maintained in CompanyCam. JobNimbus experience is required. This is not an entry-level CRM position. The successful candidate must be able to operate inside JobNimbus and help engineer the workflows, automations, templates, forms, reports, and tools the company has not fully implemented.
COMPENSATION & SCHEDULE
$25-$40 per hour, based on experience. Up to 40 hours per week. Performance- and production-based bonuses and incentives available. Bilingual English/Spanish candidates are highly preferred.

WHAT YOU WILL OWN
- Own day-to-day production coordination after the Project Manager completes the handoff.
- Order approved materials and schedule crews, deliveries, dumpsters, equipment, and inspections.
- Communicate routine scheduling, selections, progress, payment, and next-step information to customers.
- Notify Project Managers when materials are ordered or delivered, crews are scheduled, build dates are set, or problems require attention.
- Maintain accurate JobNimbus records, workflows, tasks, documents, communications, and production status.
- Review and approve properly supported labor bills before sending them to the Internal Business Administrator for payment.
- Exercise full authority over routine material returns, return slips, supplier credits, and supporting documentation.
- Convert paper-based processes into practical digital systems and eliminate duplicate recordkeeping.
JOBNIMBUS SYSTEMS RESPONSIBILITY
JobNimbus must become the company's primary source of truth for customer, project, workflow, production, follow-up, and operational information. CompanyCam will remain the primary platform for project photographs and visual jobsite documentation.
- Build and improve workflows, task sequences, automations, templates, forms, checklists, custom fields, dashboards, and production reports.
- Identify unused JobNimbus features, test them, and determine how they can improve TIMCO's operations.
- Convert practical paper forms, checklists, approvals, and records into standardized digital processes.
- Make sure important information is not stored only in paper files, notebooks, emails, or text messages.
- Create clear rules for where information belongs and train team members to follow the system consistently.
- Connect CompanyCam documentation to the appropriate JobNimbus records.
PRODUCTION RESPONSIBILITIES
Project Handoff and Job Readiness
- Confirm contracts, approved scopes, measurements, selections, deposits, permits, access information, and supporting documents are complete before production.
- Identify missing routine information and route scope, pricing, technical, or contractual questions to the Project Manager.
- Prepare work orders, production checklists, build-queue information, and job-staging requirements. Scheduling and Customer Communication
- Maintain the production calendar and coordinate suppliers, subcontractors, crews, inspectors, office employees, and Project Managers.
- Provide customers with proactive updates regarding selections, scheduling, deliveries, inspections, delays, progress, and completion.
- Collect selections, approvals, access information, documents, deposits, progress payments, and final payments.
- Document meaningful communication in JobNimbus and escalate major complaints or disputes. Labor Bills, Materials, and Closeout
- Review labor bills against completed work, documented changes, work orders, and applicable crew rates.
- Approve accurate labor bills for processing; the Internal Business Administrator issues payment.
- Manage material returns and ensure credits are assigned to the correct job.
- Review crew waste factors and flag unusual waste, shortages, overages, or billing discrepancies.
- Collect completion documents and prepare finished projects for billing, warranties, and workflow closeout.
REQUIRED QUALIFICATIONS
- Previous hands-on JobNimbus experience is mandatory.
- Ability to build or improve CRM workflows, automations, templates, forms, reports, dashboards, and processes.
- Strong organization, follow-up, judgment, accountability, and attention to detail.
- Ability to manage multiple jobs, deadlines, crews, vendors, and changing priorities.
- Professional communication with homeowners, crews, suppliers, subcontractors, inspectors, and office staff.
- Ability to convert manual processes into clear digital workflows and train others to use them.
- Construction, roofing, restoration, scheduling, production, or project-coordination experience is strongly preferred.
