EFFECTIVE DATE
September 2026 POSITION SUMMARY The Quality Assurance Specialist is responsible for ensuring that every aircraft part and component handled by Altitude Parts meets the company's quality, documentation, traceability, and inspection standards. This position inspects incoming and outgoing inventory, reviews supporting airworthiness and trace documentation, identifies discrepancies, and coordinates corrections so that parts are accurately identified, fully documented, and ready for sale or shipment. The role sits at the point where quality, warehouse, and sales intersect. The Quality Assurance Specialist is the last line of review before a part leaves the building, and is expected to work methodically, document thoroughly, follow up persistently with outside repair stations and vendors, and escalate concerns before a questionable part is released.
POSITION OBJECTIVE
Ensure every aircraft part sold by Altitude Parts is accurately identified, properly inspected, appropriately documented, and supported by complete records — protecting the company, our customers, and the quality of the Altitude Parts brand.
KEY RESPONSIBILITIES
Receiving & Incoming Inspection Inspect incoming aircraft parts and components for condition, identification, part numbers, serial numbers, and overall conformity. Verify that part numbers, serial numbers, descriptions, and conditions accurately match the physical component and its accompanying paperwork. Review the documentation and physical condition of parts returned from repair or overhaul facilities. Ensure inventory received from aircraft disassemblies is properly identified, documented, tagged, and processed before being released into available inventory. Quarantine parts that cannot be verified and hold them out of available inventory until the discrepancy is resolved. Documentation & Traceability Review Review aircraft part documentation, including
FAA 8130-3
forms, EASA Form 1, certificates of conformance, teardown reports, maintenance records, and back-to-birth or trace documentation. Confirm that dual-release documentation is present and correctly worded where parts are intended for both domestic and international sale. Verify that certificates are issued by an appropriately authorized source and that all required blocks and signatures are complete. Confirm the traceability chain is unbroken and consistent from the source of the part through to current inventory. Maintain organized electronic and physical quality records that can be retrieved quickly for customer or audit requests. Discrepancy Resolution & Vendor Coordination Identify missing, incomplete, incorrect, or inconsistent documentation and coordinate with repair stations, vendors, suppliers, and internal teams to obtain corrections. Arrange documentation corrections, replacement certificates, updated trace records, and other required supporting paperwork. Maintain a clear log of open documentation discrepancies and drive each item through to completion. Follow up persistently with outside parties on aging items and provide status visibility to sales and operations. Escalate significant quality, traceability, or documentation concerns to management before a part is sold or shipped. Outgoing Inspection & Shipping Perform final quality inspections of parts prior to shipment to customers. Verify that outgoing parts are properly packaged, protected, labeled, and accompanied by the correct documentation. Confirm that shipping paperwork matches the part, the order, and the certification provided to the customer. Work closely with the warehouse and sales teams to resolve quality or documentation issues that could delay a sale or shipment. Assist with customer quality questions and documentation requests. Quality System, Audits & Continuous Improvement Assist with internal quality audits and ensure established company procedures are consistently followed. Support continuous improvement of Altitude Parts' inspection, documentation, inventory, and shipping processes. Recommend updates to quality procedures, forms, and checklists as the business grows. Support customer and third-party audits by preparing and presenting requested records. Perform other duties as assigned in support of the quality function and company operations.
QUALIFICATIONS
Required Strong attention to detail and a demonstrated ability to identify documentation discrepancies. Strong organizational and follow-up skills, with the ability to manage multiple open discrepancies to timely resolution. Ability to communicate clearly and professionally with repair stations, vendors, customers, and internal departments. Comfort working with computers, inventory systems, scanned records, and electronic document management. Ability to work independently, prioritize, and know when to escalate. High school diploma or equivalent. Preferred Aviation parts, maintenance, quality, records, or warehouse experience. Knowledge of aircraft parts documentation and traceability requirements. Familiarity with
FAA 8130-3
forms, EASA Form 1, maintenance release documentation, and aviation parts terminology. A&P certification.
CORE COMPETENCIES
Accuracy — Treats a part number, serial number, and certificate as things to be verified, not assumed. Follow-Through — Keeps open discrepancies visible and closes them out rather than letting them age. Documentation Discipline — Records what was inspected, what was found, and what was done about it. Judgment — Knows what can be resolved directly and what must be escalated before a part moves. Collaboration — Works constructively with warehouse, sales, vendors, and repair stations under time pressure. Integrity — Will hold a part rather than release something that cannot be properly supported.
SCHEDULE & WORK ENVIRONMENT
Full-time, on-site position based in Ocoee, Florida. Standard business hours, Monday through Friday. Occasional extended hours may be required to meet shipping deadlines, support inventory projects, or complete aircraft disassembly intake. Work is performed in a combination of office and warehouse environments, with exposure to varying temperatures, noise, and material handling equipment. Required to stand, walk, bend, reach, and move throughout the warehouse for extended periods. Must be able to lift and carry up to 50 pounds and to safely handle larger components with appropriate equipment or assistance. Personal protective equipment and adherence to all company and facility safety procedures are required. Occasional travel to vendor, repair station, or aircraft disassembly locations may be required.
