Job Overview The QM Assistant supports the Quality department by verifying inspection records and documentation prior to order release, ensuring products meet company and customer quality standards before shipment. This role also assists with broader quality assurance activities, including documentation control, record-keeping, and support for audits and continuous improvement initiatives. Key Responsibilities Primary Responsibility Review and verify inspection records (incoming, in-process, and final inspection) for completeness and accuracy prior to releasing orders Confirm that all required quality checks, sign-offs, and test results are documented and meet specified criteria before authorizing release Flag and escalate any discrepancies, missing data, or non-conformances to the Quality Manager before release is approved Maintain a release log/tracker showing order status and inspection sign-off history Additional Quality Support Tasks Assist with maintaining and organizing quality documentation (inspection reports, certificates of conformance, calibration records, etc.) Support internal audits and preparation for customer/third-party audits by organizing and retrieving records Help maintain document control systems (SOPs, work instructions, forms) ensuring current revisions are in use Assist with data entry and tracking of non-conformance reports (NCRs), corrective actions (CAPAs), and quality metrics Support basic inspection or measurement tasks as needed (visual checks, dimensional checks, using tools such as calipers/gauges) Coordinate with production, warehouse, and shipping teams to ensure release holds are communicated and resolved promptly Assist in preparing quality reports and KPI summaries for management review
Qualifications Required:
High school diploma or equivalent (Associate's degree in a technical field a plus) 5+ years of experience in a quality, manufacturing, or inspection-related role Strong attention to detail and comfort working with detailed records/documentation Basic proficiency in Microsoft Excel/Word; comfort with data entry and recordkeeping systems Ability to read technical drawings, specifications, or work instructions (as applicable to your industry)
Preferred:
Experience with quality systems such as ISO 9001 or similar Familiarity with ERP/QMS software Basic understanding of inspection tools and measurement equipment Key Skills & Attributes High attention to detail and accuracy Strong organizational skills and ability to manage documentation systematically Good communication skills to coordinate release holds and escalate issues Ability to follow procedures precisely and know when to escalate exceptions Comfortable working under deadlines, since order release often has time pressure Working Conditions Primarily office/desk-based with regular time on the production or warehouse floor to verify records against physical product May require standing, walking, and handling of parts/samples
Pay:
$45,000.00 - $50,000.00 per year
