Hiring Wage/Salary Range $27.00 - $34.00/hour Professional Experience/ Qualifications A minimum of three years of administrative experience with progressive responsibilities is required. Keen interpersonal skills and strong judgment; discretion with respect to confidential documentation. Ability to multi-task, adapt to changing priorities, and balance responsibilities on behalf of two Vice Presidents. Excellent written and oral communications skills, including editing an proofreading. Demonstrated ability to work effectively with a wide range of constituencies, both internal and external. Proven ability to produce tasks in accurately and on time. Proficiency with MS Office (Word, Excel, and PowerPoint) and Google products (Gmail, Google Docs). Demonstrated planning and organizational skills. Willingness to learn. Preferred Qualifications Experience with coordinating complex travel arrangements, managing complex scheduling/calendars. Experience with drafting professional correspondence. Education A Bachelor's degree is preferred, or a combination of education and experience from which comparable skills are attained. Department Statement The Divisions of Communications and Administration provide mission-critical functions in support of Colgate University's academic mission. Together these divisions include the departments of Risk Management and Legal Affairs, Human Resources, the Office of Institutional Analysis, and the Communications Department, which oversees all internal and external communications of the University, University Events, and Government Relations. Accountabilities Reporting jointly to the Vice President for Communications and the Vice President for Administration, this position is responsible for providing administrative and operational support to the two divisions.
Responsibilities include:
Coordination of the daily and ongoing operations and efficient administration of procedures and processes central to the Offices. Maintaining discretion and safeguarding confidential information. Responding in a timely manner to requests for information and making referrals to other resources as appropriate. Managing calendars, itineraries, travel arrangements, contacts, and correspondence for the Vice Presidents and the Assistant Vice President for Risk Management and Analysis. Monitoring office budgets and supplies, which may include researching services and pricing, processing quotes, creating PO's and requisitions and submitting for timely payment. Partnering effectively with colleagues and stakeholders across campus and other duties as assigned.
