Position Overview The Operations & Engagement Coordinator is a full-time position responsible for the daily operational, communications, and community engagement infrastructure of Solace House. The Coordinator serves as the operational backbone of the organization: the primary point of contact for clients, donors, vendors, and volunteers, and the day-to-day owner of administrative systems, event execution, and digital communications. The role reports directly to the Chief Executive Officer and works in close collaboration with the clinical leadership team. This is a hybrid position with a minimum of 2 days per week in the Long Island City office. Primary Responsibilities Client Communication, Scheduling, and Phone Operations Own daily operation of the Solace House phone line, including coverage planning, response standards, and quality of the caller experience. Coordinate the schedule and oversight of phone volunteers to ensure continuous coverage. Conduct non-clinical intake calls following established protocols and route requests appropriately. Assign client identification numbers, schedule and confirm appointments, and manage cancellations and rescheduling across the therapist roster. Coordinate Zoom telehealth sessions for clients and therapists, including troubleshooting during sessions. Escalate urgent or sensitive matters to the CEO and clinical leadership per established procedures. Administrative Systems, Data, and Reporting Own day-to-day data integrity in Salesforce and other internal systems, ensuring accurate and confidential recordkeeping consistent with HIPAA requirements. Produce daily attendance reports, weekly therapist schedules, and monthly client volume reports. Track client attendance trends and surface patterns that inform clinical or operational decisions. Maintain organized internal filing, document management, and communication archives. Event Planning, Execution, and Fundraising Support Co-lead the planning and execution of Solace House signature events with the CEO, including the Sunrise Walks, Golf Outing, Sunset Gala, and Mazza Truck Pull.
Own end-to-end event logistics:
guest lists, registration, vendor and volunteer coordination, raffles, check-in, and day-of execution. Manage event outreach and follow-up with sponsors, vendors, and attendees. Support donor communications including thank-you correspondence and post-event stewardship. Social Media, Digital Communications, and Marketing Own day-to-day social media and digital marketing across Instagram, Facebook, and LinkedIn, within established brand guidelines. Plan, schedule, and publish content promoting events, fundraising campaigns, and awareness initiatives. Manage and update donor and event platforms (Givebutter, registration pages, mailing lists). Track engagement metrics and produce a monthly digital communications summary for the CEO. Qualifications Required Bachelor's degree (preferred fields: business, communications, marketing, public administration, nonprofit management, or social services). 2 to 5 years of relevant experience in operations, administration, communications, or nonprofit work. Demonstrated proficiency with CRM platforms (Salesforce, Givebutter, or comparable). Proficiency with Microsoft Office, Google Workspace, Zoom, and Mailchimp. Strong written and verbal communication skills. Ability to manage competing priorities with accuracy, discretion, and judgment. Comfort handling sensitive client information in a HIPAA-compliant manner. Authorization to work in the United States. Preferred Experience in nonprofit operations, community mental health, or behavioral health support services. Experience supporting fundraising events from planning through execution. Familiarity with social media management for mission-driven organizations. Familiarity with the Irish-American community in the New York metropolitan area. Schedule and Commitment Full-time, Monday through Friday. Hybrid schedule with a minimum of 2 days per week in the Long Island City office. Evening and weekend hours required for signature events, with advance notice. Immediate start preferred.
